Duties

  • Provide an efficient secretarial/administration/reception support service
  • Undertake diary management for clinicians and/or managers, as required ensuring that conflicting and amended appointments are actioned appropriately
  • Provide operational support to colleagues, and supervision of band 2 administration staff within the team, if required, as directed by the Service Manager
  • To collect and maintain accurate team information with regards to training undertaken, Clinical Supervision and any other database
  • Responsible for ensuring that accurate work is completed within the time limits and standards set
  • To work effectively both independently and as a team member
  • Inputting and updating staff information and team activity on computerised information systems, creating patient notes where necessary and according to policy.
  • Undertake training of new staff as directed by Line Manager and/or other managers.
  • Facilitate meetings including venue booking, refreshments, producing and circulating agendas, recording attendance and accurate minute taking
  • To ensure medical records are filed in line with Information Governance procedures
  • To deal with requests and enquiries and forward them to the relevant team member
  • To monitor and order stock and nonstock items as required
  • Booking courses, accommodation, and travel requests as and when required
  • Responsible for own Mandatory Training requirements
  • To work flexibly and provide cover as directed by Line Manager for other members of the team in their absence and assist with their workloads as necessary and undertake such other duties as may be reasonably required commensurate with the grade of the post.
This may include the requirement to travel to different sites


Knowledge, Skills and Experience

  • Be proficient in the use of IT systems including Microsoft Office
  • Excel, Outlook, Word, Database & internal systems including Patient and staff Information systems
  • Good general education including English Language and Math's to GCSE or equivalent
  • Accurate minute taking skills
  • Ability to meet deadlines
  • Ability to work on own initiative
  • Excellent organisational skills
  • Team player
  • Understanding of data protection and maintaining strict confidentiality
  • Excellent communication skills
  • Experience of working in a customerfacing role
  • Experience of working in a busy environment
  • Analyse, investigate, and resolve patient queries where appropriate escalate to a senior member of the team
  • Take appropriate action from messages received and ensure that all information is transmitted to relevant parties
  • To manage, update and maintain diary schedules, ensuring that conflicting and amended appointments are actioned appropriately
  • Prioritising and organising own workload in a busy office environment
  • Be responsible for the coordination, booking and organisation of clinics, meetings and events ensuring that all relevant documentation is available.
