Job Purpose:


To provide effective and efficient administration which supports management by ensuring a high standard of data quality and by making the best use of capacity and resources.

To work as a member of a functional, task-based team, ensuring robust communicationand liaison with your administrative colleagues and with clinical practitioners.

Responsible for the provision of a professional, comprehensive and effective administrative service to the Division/Service Line/Team.


Duties

  • To provide a highquality administrative service to Clinical services.
  • To work as a team player, contributing and implementing the planned functional administration processes with solution focussed, can do attitude.
  • To provide a highquality comprehensive support function ensuring effective and responsive customer services and a quality administrative service, standards of quality and equality to the team, including an effective, responsive service to telephone callersto the office.
  • To provide an effective and efficient quality word processing support, utilising software such as organisational databases and Microsoft packages including Word and Excel.
  • Maintaining data quality of the Patient Information database
  • Monitor and review patient care and/or treatment progress using the Patient Tracking List (PTL) in line with Trust and local policies
  • Identify from the tracking list the next steps in the patient care pathway in line with clinical need (peer review).
  • Attend relevant meetings and complete actions regarding the care of patients within the designated pathway.
  • Maintaining data quality of electronic records in accordance with case note standards
  • Ensuring that all necessary procedures have been carried out and electronic documentation completed before files are close
  • To collaborate with colleagues across the administration team to ensure effective intake processes are followed, appointments are booked efficiently and appropriately and in a timely fashion in accordance with case note standards
  • Liaising with staff and trainees, referrers and other professionals, ensuring that accurate messages are taken and delivered
  • Initiating and responding to telephone calls with patients, and deal sensitively and with patience to all communication
  • Ensuring that all core data is collected from the patients or clinicians and entered onto the system
  • Following outcome monitoring procedures, including sending out and receiving any necessary forms that are relevant to the patient, entering core data on the system and liaising with the Data Office when necessary

Qualifications, Skills and Experience

  • Experience of administration in an office environment Good standard of typing skills
  • Ability to write and present correspondence in a professional standard using Word for Windows.
  • Ability to communicate verbally with staff and external professionals with confidence
  • Ability to converse with patients by telephone with tact and sensitivity
  • Excellent communication skills, both verbal and written
  • Ability to converse with patients by telephone and in person with tact and sensitivity
  • Skilled in minute taking
  • Experience of using computer data bases
  • Ability to work on own initiative and maintain confidentiality
  • Ability to prioritise and organise tasks
  • Ability to work collaboratively with others
  • Ability to work under pressure
  • Able to demonstrate a commitment to and a desire to live by the Trust's values.
