JOB SUMMARY:


To provide a comprehensive administrative service to the Fundraising Department, supporting the Fundraising team and ensuring that all donor transactions are recorded and acknowledged in an accurate and timely manner.


DUTIES AND RESPONSIBILITIES:


To work closely with the Fundraising Team, ensuring the accurate inputting, recording, and receipting of fundraising donations on the database (Donor flex).

To attend and assist at fundraising events throughout the calendar year.


Duties
will include:

  • Responsible for distributing and collecting internal mail in relation to the Fundraising

  • Ensure all donations are processed promptly and accurately onto the fundraising CRM
database and the appropriate thank you communication is issued to the donor

  • Record and maintain Gift Aid declarations and donations to support the claim process
  • Provide excellent levels of donor care preand postevent including the accurate and timely thanking for donations and participation
  • Develop volunteer roles and support (in conjunction with the Volunteer Coordinator) to assist the fundraising team with third party and hospice led events and income streams.
  • Liaise closely with the Finance Team to ensure that all donations are coded correctly
  • To maintain accurate and up to date records of collection tubs/buckets through the CRM system. Arranging monthly collections and replacements where appropriate.
  • Responsible for maintaining uptodate and accurate records of all fundraising campaigns, events, activities, and donor records/contact on the fundraising CRM database in conjunction with the fundraising team.
  • Overall responsibility to Maintain accurate and up to date stock levels of all merchandise through the CRM system.
  • Undertake general administrative duties to include opening post, maintaining an effective filing system, taking messages, photocopying, ordering merchandise and maintaining order of the office, which will contribute to the effective running of the fundraising department.
  • Using initiative to manage own work plan and the ability to spot potential and build relationships with prospective supporters.
  • Develop a close working relationship with staff and volunteers who work within the Fundraising Team, and the wider Hospice team ensuring that a positive view of the Hospice is always promoted

SPECIAL FEATURES OF THE JOB:


  • Occasional evening and weekend working will be required and so an element of flexibility may be needed for the role.
  • A car is essential to the duties involved in this post. A mileage allowance is paid for official travel.

GENERAL:

To carry out and comply with the prevention and control of infection as per Hospice policies and procedures.


The post holder is responsible for safeguarding the interests of children and adults who they come into contact with during their work.

To fulfil these duties post holders are required to undertake mandatory training to recognise the signs and symptoms of abuse, or neglect, or individuals at risk and to follow Halton Haven policies relating to safeguarding practice including reporting any concerns that they may have.


Take reasonable care for the health and safety of themselves and of other persons who may be affected by their acts or omissions at work.

Co-operate with their employer as far as is necessary to meet the requirements of the legislation.
