    Job summary

    As a Project Support Manager, you will be a key member of the Outpatient and Length of Stay transformation programme teams, supporting the delivery and monitoring of the programmes against key milestones whilst providing essential administrative support.

    You will be responsible for identifying and supporting the management of project risks, issues and decisions and actions; coordinating the content of project risks and regular update and returns. You will also be responsible for providing progress reports and delivering presentations.

    You will work in collaboration with the Deputy Chief Operating Officer for UEC and OP Transformation, the Head of Outpatients, the Outpatients and Length of Stay project teams, General Managers, Care Group leads and other staff appointed by the Trust as stakeholders in projects. Additionally you will liaise with information and IT teams and various estates staff, external professional bodies, organisations, and contractors.

    Main duties of the job

  • Support the implementation of outpatient transformation and length of stay workstreams.
  • Provide administrative support, including developing and maintaining effective electronic filing systems.
  • Prepare presentations, reports, and other documentation.
  • Use project management skills to plan and deliver projects and workstreams on time.
  • Track project milestones, manage escalations, and ensure timely communication of plans and outcomes to all levels of the organisation.
  • Analyse data to identify, evaluate, and monitor improvement initiatives. Stakeholder Coordination:
  • Liaise with senior stakeholders to obtain and present complex information in formal settings.
  • Organize and manage meetings and events for the Transformation team, including booking rooms, preparing materials, and distributing documents.
  • Maintain and continuously improve project documentation, templates, policies, and procedures.
  • Ensure version control and compliance with governance strategies.
  • Maintain a register of key risks and issues related to the portfolio of projects.
  • Work autonomously on complex issues, often under tight deadlines.
  • Collaborate with clinical and non-clinical teams to implement improvement projects.
  • Provide and receive highly complex information and present it to various groups, including Executives, Directors, and Non-Executives.
