The principal role of the administrator to work collaboratively with other administrative staff to deliver an efficient, welcoming reception service, & managing other essential duties.
Lead in the reception of patients to the Endoscopy Suite/ Theatres while being supported by the rest of the Teams.
Ensure efficient administration of all aspects.What will the apprentice be doing?
The principal role of the administrator is to work collaboratively with other administrative staff to deliver an efficient, welcoming reception service, whilst managing other essential duties.
- Patient/customer care (both direct and indirect)
- Reception of patients when covering the role as receptionist
- Carry out tasks in delivering and supporting indirect patient care under the supervision of a registered nurse.
- Ensure efficient administration of all aspects of patient admission to hospital is carried out in liaison with the senior nursing staff in Endoscopy or Theatres.
- To ensure that patients receive written/verbal communication in advance of admission to hospital with special emphasis on client care.
- To be involved in the preparation of patient discharge, in conjunction with the multidisciplinary team. Where necessary ensuring transport arrangements are in place for the patient/client.
- Maintenance of all computerised patient administration systems
- Daily maintenance of HIS, updating additional sessions and vacant theatre slots as per changes in need.
- To ensure medical records are maintained, ensuring correct documentation and results are filed correctly and promptly
- Ensure the weekly schedules are updated and follow up with weekly scheduling meeting report with advice from Clinical Business Manager.
- Updating the Theatres lists promptly with clear communication to all teams.
- Helping the services to update audits documentation
- Collating and completing the Private Patient forms, with cost details of all the listed consumables. Liaising with senior nursing staff in respect of queries and providing timely and accurate date for the PP teams.
- Using the electronic purchasing system (SBS) the administrator will maintain the departmental stationery stock and will be responsible for ordering a wide range of theatre consumables on the instruction of senior nursing staff. This may involve contacting procurement and the various manufacturers.
- To ensure that telephone enquiries are dealt with in a sensitive and polite manner.
- To contribute ideas so that the quality of patient cares can be improved.
- In conjunction with the wider Endoscopy or Theatres teams, be responsible for the maintenance of clean and tidy clinical areas, and maintain a safe, pleasant environment.

- Checking the kitchen supplies, ordering and collecting from the Kitchen daily when working in the Endoscopy suite.
- PA duties for Matron of Endoscopy/Theatres in the absence of other senior admin staff.
- Creating and printing reports on Endobase for Consultants/Matron/Service Manager to provide evidence for audits/JAG accreditation etc.
- Communicating Flexible Cystoscopy reports to GP'S.
- Printing reports for the Consultant's PA'S.
- Managing the diaries of Endoscopy Consulting Room & Quiet room.
- Reporting faults to facilities & IT to ensure the unit runs smoothly and is maintained.
- Collecting and returning Patient's notes from Medical Records.
- Collecting and taking post to the post room as required (minimum once a day).
- Working closely with Theatres and Endoscopy admin team in supporting scheduling and reporting.
- Ensure up to date clinical audits documentation delegated by the clinical staff.
- Update the EPR when there is any addition and cancellation to Theatres/Endoscopy lists.

Enrolment on the Business Admin Level 3 Apprenticeship with PMA Ltd, the full apprenticeship will be in the Practice, and the following internal training:
