About the Role:

An exciting opportunity for an Operations Assistant to work for a rapidly expanding company.

You will be working in Operations, Analytics & Quality Department, proving front of house visibility and back office support to the Engineering management Team.

Working in a high change and fast-paced environment, you will provide vital receptionist and administrative support across functions within the organisation.


Essential Duties & Responsibilities:

To perform full reception / administrative duties and other operations tasks, including but not limited to:


  • Visitor management:
  • Allocating visitor parking
  • Greeting and welcoming visitors to the office, ensuring they sign in the visitor's book and inform the relevant member of staff of their arrival.
  • Providing refreshments for visitors and attendees during meetings
  • Ordering work lunch/meal, and providing hospitality assistance upon their arrival
  • Organising meeting room booking
  • Handling emergency visitors and meetings with short notice in a professional manner
  • To ensure that the reception and meeting room areas always remain tidy and project a businesslike image.
  • Recruitment support
  • Maintain the internal recruitment tracker.
  • Ensure all Contract staff have valid RFQ's and PO's to maintain Project support.
  • Time Management
  • Support the Engineering Management Team to ensure Timesheets are fully submitted on time.
  • Support data analysis to advise over bookings / Project cost overrun risks.
  • Travel management:
  • Booking transport and travel, hotels.
  • Liaising with travel agencies
  • General enquiries:
  • Allocating messages to relevant staff
  • Operations stock management:
  • Checking stationery and kitchen supplies,
  • Performing stock checks for stationery, workwear (if applicable) and general supplies (e.g. kitchen sundries).
  • Logistics management:
  • Post distribution,
  • Ownership of goods in and goods out, and other logistics when required.
  • Providing backup cover and support for the Operations department, when required.
  • Company event support
  • Providing support with additional adhoc administrative/operational duties as and when required by the Engineering Management Team.
  • This position requires work onsite from Mon to Fri.

Safety & Environmental

  • Ensures Environmental Health & Safety policy is always adhered to.
  • Promotes Environmental Health & Safety awareness.
  • Responsible for adhering to EHS procedures & policies to ensure compliance

Qualifications, Functional Experience & Skills:


Required:


  • Must have previous Reception / Administration experience
  • Excellent written and verbal communication skills
  • Excellent attention to detail
  • Ability to multitask and prioritise workload
  • Ability to work under pressure
  • Must be extremely well organised and have the ability to provide highly accurate and quality work
  • Must be prepared to deal with emergency requests
  • Must be professionally dressed at all times.

System or Knowledge

  • Must have previous Reception / Administration experience
  • Must have strong Microsoft office skills

Other Features of job

  • Eligible to work in the UK.
  • This role is based at our Head Office at Birmingham Business Park, 0900 to 1700, including 30minute paid break 5 days a week.
  • Travel occasionally
