    Job summary

    The Cheshire and Merseyside Network (CMRN) provides specialist rehabilitation across hospital and community services for patients with complex needs following traumatic injury or illness.

    An exciting opportunity has arisen to join the CMRN team as Personal Assistant to the Senior Management Team. We are looking for an enthusiastic, proactive and conscientious individual with excellent PA, administrative and organisational skills. The post holder will be a key point of contact and will liaise with colleagues at all levels and as such excellent written and oral communication skills are essential. The post holder will work with the minimum of supervision providing comprehensive secretarial and administrative support in an organised, efficient and effective manner.

    The post holder will be based at The Walton Centre NHS Hospital Trust. Travel to partner organisation sites across the region may be required to attend meetings.

    Main duties of the job

    To ensure a comprehensive secretarial and administrative support maintaining quality standards, this includes:

    Supporting Network Board and Management meetings and work groups were appropriate, including minute taking, circulation of meeting documents and room bookings.

    Circulation of information/reports to the Network staff to ensure efficient communication.

    Supporting the collation and recording of HR and activity information

    Diary management for members of the Network Senior Leadership Team

    Arrangement of accommodation, travel as required.

    Effective management of incoming and outgoing mail.

    Supporting telephone enquiries providing an efficient telephone service to callers and act on these as appropriate.

    Stock requisitions to ensure a consistent level of stock items are held and invoices.

    Administrative support for organising Network Events and Workshops including sponsorship and communication with external and internal exhibitors and presenters.

    Uploading new content and reviewing of existing content and links on the CMRN website.

    Role summary

    The post holder will provide a comprehensive secretarial and administrative support to the CMRN Management Team, including Rehabilitation Network Manager, and Performance, Information & Research Manager.

    To work with the minimum of supervision in an organised, efficient, and effective manner. It is essential that the post holder uses initiative compatible to the role and it is vital that confidentiality is maintained at all times.

    This post demands a high level of responsibility within the remit of indirect patient care. Accurate record keeping and confidentiality are paramount to this position. Key responsibilities

    To ensure a comprehensive secretarial and administrative support maintaining quality standards, this includes:

    Support Network Operational Meetings, RA&I Meetings, Hub Operational Meetings, Performance Meetings and other sub-groups where appropriate.

    To be responsible for taking and transcribing minutes of meetings and responsible for distribution of paperwork in a timely manner, organising a venue, refreshments and equipment as required.

    To circulate information/reports to the Network staff to ensure efficient communication.

    To provide support in the collation and recording of HR and activity information

    To provide electronic diary management

    To arrange accommodation, travel as required.

    To ensure effective dealing with any incoming and outgoing mail.

    To deal with telephone enquiries providing an efficient telephone service to callers and act on these as appropriate.

    To raise stock and non-stock requisitions to ensure a consistent level of stock items are held.

    To raise invoices for payment, certifying with financial codes to ensure correct delivery.

    To provide administrative support for organising Network Events and Workshops including sponsorship and communication with external and internal exhibitors and presenters

    To be responsible for uploading new content and reviewing of existing content and links on the CMRN website.

    To contribute to Network policies.

    To demonstrate duties and support new starters.
