This is a great opportunity to join The Crichton Trust team as Operations Administrator, supporting the leadership team and the wider charity in all areas of administration.

The post holder will be responsible for all administrative and clerical work of the Trust, as well as ensuring that all policies and records are kept under review and current.

The post holder will also be responsible for managing the Trust's IT systems.


Main Duties:

  • Ensure that all operational administration for The Crichton Trust is carried out effectively and accurately
  • Ensure that the Trust's telephone system (landlines/VOIP and mobiles) is effectively managed in consultation with the appropriate Manager, including installation and programming where necessary. Ensure effective administration of required invoicing and supporting delivering of training to staff and clients as needed.
  • Lead on management of IT for The Trust, in particular Microsoft accounts and use of OneDrive/SharePoint.
  • Ensure that all records and files retained electronically are properly managed and protected. Carry out all the routine management tasks to ensure that the system is effective. Where necessary providing training to new staff on systems
  • Ensure that The Trust uses the appropriate hardware and software to carry out its work effectively and efficiently, maintaining licences and ensuring policies/procedures comply.
  • Ensure all IT devices are registered and maintain an up-to-date Asset Register for The Trust.
  • Support Management with the administration of HR matters for The Trust. Prepare and keep up-to-date, in consultation with the appropriate Manager/Team and Consultants, all personnel employment files, employment policies and procedures.
  • Ensure support for HR is managed through external organisations where necessary - PRISM HR/ Westfield to support staff / SLT.
  • Ensure all company vehicles are serviced, taxed and insured and maintained in good running order and appearance.
  • Work with SLT to ensure GDPT compliance and submit and update data protection licence.
  • Deal with general enquiries for the Trust including enquiries for Venues or Property.
  • Such other duties as may from time to time be included in the post by the Senior Leadership team coming reasonably within the scope of this post.
  • Where necessary provide Reception cover for The Trust.
