Role
The purpose of this role is to provide excellence in customer service and administrative tasks in supporting and undertaking the range of
activities required by Faculty programmes and professional and regulatory bodies in securing and allocating
placements and work-based learning experiences.

To provide advice and guidance on the areas of responsibility covered by the Placements and Work based (WBL)
Learning team.

To support the delivery of an excellent student experience through ensuring the work undertaken within the
Placements and Workbased Learning team is of high quality, accurate and delivered effectively.


Duties and responsibilities

To contribute to the successful delivery of the work of the Placements and Workbased learning office by ensuring tasks are completed to agreed standards and timescales.


To ensure that the individual input of data on the student records/ CRM systems and other data management systems is of high quality, accurate and up to date.


To ensure accuracy of information and display sound working knowledge of University and professional regulatory body requirements when inputting and interrogating data.


Communicate clearly with student's expectations and information in relation to their placement and workbased learning opportunity, escalating issues to colleagues within and across the University.


To process audit and governance records and information in accordance with agreed processes to include monitoring of action plans and outstanding actions.

To run exception reports and take responsibility for checking accuracy of own work.

To take responsibility for the accuracy of own data inputted onto various systems.

To take responsibility for the quality of own advice and support given to staff and students.

To develop and demonstrate expertise in the relevant areas of responsibility.


Maintenance of the student record system databases (electronic and paper), and notification of student changes to relevant external professional bodies.


To complete effectively the tasks, answering standard queries and issues without recourse to senior colleagues but knowing when to refer issues upwards.

To provide administrative support and represent the placement office for meetings and committees as required.

To act as an effective team member and to manage own diary and workload.

Participate in cross-departmental and institutional activities e.g. student enrolments.

To develop good working relationships with academic colleagues and programme teams, and professional service teams and staff.

Produce standard reports from the student records systems using reporting tools to meet internal and external requirement.

Maintain student's files (electronic)
Administrator (Placement & Work based Learning).

Advise staff / students on professional body requirements, procedures and processes relating to student WBL/placements.

Assist with developing and implementing best practice.

To organise events and meetings with internal and external customers.

To provide administrative support before, during and after monitoring visits by external regulators.


To administrate and update e-portfolio and e-assessment system used by students, to include support and guidance for problems and issues arising for students, and users.


The post holder will be expected to undertake other responsibilities and tasks as reasonably requested by the Head of Placements and Work Based Learning.


The post holder will be required to participate in Open Days, Welcome Weekend and other key University events that may be outside the working week.


The postholder will be responsible and accountable for ensuring all employment legislative requirements are adhered to including equality and diversity and health and safety issues.


Skills and experience
GCSE or equivalent vocational qualification (NVQ 3 or equivalent).

Operational knowledge of systems associated with the capture and management of student data, preferably as a competent user of a
student records system.

Excellence and evidence in customer service delivery.

Demonstrable experience of managing exceptions and differences to
standard protocols effectively and within agreed frameworks.

Demonstrable experience of identifying errors in data and considering
how those errors might be resolved.

Demonstrable experience of producing documentation to a high degree
of accuracy according to agreed templates/specifications


Job Types:
Part-time, Temporary contract

Contract length: 3 months

Part-time hours: 21 per week


Salary:
£11.51 per hour
