What is this role of a Scheduling Administrator?


To work as part of the Scheduling team preparing site files and processing 'Handover Packs' including completionpaperwork and photographs returned to the office from ATM Installation sites and liaise daily with teams onsite and keep the Sortec database up to dates with relevant notes, completion ofcost, and labour allocation lines etc.


You'll also be required to create purchase requisitions within our ERP system 'Oracle', liaise with other departments across the business and call customers to book in their requested works.


What will I be doing as the Scheduling Administrator?

  • Import sites to Sortec database and ensure all site informationis organised and up to date.
  • Daily Completion Calls with site teams complete and update allocation and job status info on database.
  • Regularly review 'Response' inbox from Operational Support team liaise with Scheduling coordinators, electrical and build teams to arrange site attendances.
  • Assist with collation of weekly delivery/collection manifests for 3rd Party Couriers.
  • Calling customers to book in their requested works.
  • Prepare route sheets and site files for work teams including site drawings/surveys, H&S documents and sign offs.
  • Collect/collate all site signoff information from work teams including sign off documents, photos etc. and submit site 'Handover Packs' into Oracle.
  • Cover additional tasks in event of sickness and holiday in the department.

What will I need to succeed as the Scheduling Administrator?

  • Excellent Numeracy and Literacy skills, attention to detail and accuracy.
  • Strong IT Skills incl. experience with Microsoft Office Suite (Word, Excel, etc.) and Databases.
  • Excellent Communication Skills/Ability to build successful working relationships with colleagues.
  • Excellent organisational and time management skills.
