Administrator Vacancy in SHAP
SHAP is a homelessness charity that provides housing and support to young people and vulnerable adults across Merseyside. We currently have a vacancy for an administrator that we are recruiting for, to support our Central Business Unit.

The role of Administrator is based in SHAP's Central Office reporting to the Service Manager. The post holder will be responsible for the provision of reception duties and general administrative tasks as specified.


Working as part of a highly professional team, the Administrator will support the Service Manager and the Central Business Unit.

The main contacts for this role will be the Senior Management Team, Service Manager,
CBU team and the Frontline Managers


She / he will support the values of the organisation and work to ensure they are upheld at all times.

Principle Accountabilities


Ø To provide a Reception Service; receiving and recording callers/visitors to the organisation, ensuring that visitors sign in, in accordance with Health & Safety Policy.

Ø To receive, relay and despatch incoming calls, and take and relay messages effectively.

Ø To book meeting rooms as requested.

Ø To perform general administrative duties to assist schemes, as and when requested according to priority.

Ø To ensure that supplies of in-house stationery are maintained at all times.

Ø To produce staff identification badges.

Ø To record and ensure Housing Applications are processed as necessary.

Ø To contribute to stock management and the smooth ordering and receipt of supplies using the purchase ordering system

Ø To ensure that all financial transactions relating to the schemes or clients are accurately recorded. This includes oversight of the petty cash system, payments systems and invoicing under the direction of the Service Manager


Ø To assist in the recruitment process, by preparing recruitment and interview packs when required, requesting references and preparing personnel files for new starters; ensuring that the Data Protection regulations and safer recruitment guidelines are followed accordingly.

Ø To assist in the gathering and collation of information to update senior management with regards to:

  • monitoring equal opportunity statistics
- training evaluation feedback
- health and safety incidents
- satisfaction data reviews for suppliers and clients within schemes

Ø To ensure that appropriate filing/archiving systems are established and maintained.

Ø To maintain confidentiality at all times, in accordance with agreed SHAP Policy and Procedures.


Ø To accept regular support / supervision from the Scheme Manager or other line manager and attend any necessary training.

Ø To complete all administrative system and staffing paperwork e.g. absence, working hours, expenses, etc.


Ø To understand and work within SHAP policies, procedures, strategy, systems and guidance (and those of partner organisations where relevant).


Ø To promote the organisation's commitment to valuing diversity, social justice, challenging discrimination and offering services in line with its stated values.


Ø To undertake additional reasonable duties (including attending training) as reasonably required and consistent with the general level of responsibility for this role.

Salary:

£20,519 (FTE); salary pro rata for 25 hours with a view to regular overtime


Annual Leave:

27 days per year, _
excluding_ statutory Bank Holidays


Hours:

25 hours (PTE) per week Monday - Friday

  • We do not pay enhancements for overtime, weekends or other public holidays._
