Dietetic Secretary – NHS Fife – September 2022 – Present

 

The main duties of the role include:

  • First point of contact for all enquiries to the service via telephone/email or paper and on rotation, carry out telephone duties and electronic communications for the team whilst maintaining strict GDPR and patient confidentiality regulations. 

 

  • Management of clerical and administrative processes to support clinical care which includes the use of electronic patient records and outpatient appointment system TRAK.

 

  • Ordering of supplies from PECOS procurement system.

 

  • Support allocation of appointments and deal with vast telephone enquiries from patients and other health care professionals.

 

  • Maintain and update established electronic and paper-based systems for the recording, storage and retrieval of information for Tier 2, the largest Tier within our department, ensuring housekeeping and archiving takes place regularly.

 

  • Supporting and maintaining NHS Fife values of quality, teamwork, care and compassion, dignity and respect, and openness, honesty and responsibility daily and ensure compliance with GDPR and confidentiality regulations as well as implementing and adhering to Health and Safety policies.

                                    

Court Officer – Scottish Courts & Tribunal Service – March 2018 – September 2022

  • Undertakes reception duties, providing high quality and professional service by dealing effectively with incoming phone calls, court users and contractors maintaining rigorous confidentiality and GDPR regulations and maintaining Health and Safety policies.

 

  • Checking in witnesses attending court and directing/escorting witnesses to appropriate witness rooms and acting as a bridge between all witnesses attending court and Witness Services, Procurator Fiscal, Police, GeoAmey, Social Work staff, Solicitors and Sheriffs and working together in tandem with all services as one team.

 

  • Set up the court rooms for cases due to call, organise and test IT equipment for use in CCTV cases and ensure screens are erected for cases with vulnerable witnesses.

.

  • Undertakes general duties within Court, including calling of witnesses, handling of sensitive evidence in cases/productions, escorting the Sheriff to and from court, liaising with witnesses and jurors as required to keep them informed of the ongoing proceedings and assisting with CCTV evidence cases.

 

  • Help to ensure security and appropriate standards of behaviour are maintained within the court building by liaising/working alongside Police Officers whilst ensuring confidentiality and GDPR regulations are enforced and complied with.

 

  • Messenger duties including collecting DX, Legal Post and General Post Office mail daily. 

 

  • Opening up and closing the court building, conducting security inspections of the Court premises prior to commencement of opening time and on before its closure, implementing and maintaining security measures to safeguard the Court, staff and customers throughout operational hours, carrying out weekly fire alarm checks and reporting any maintenance requirements to maintain strict health and safety procedures.

 

  • Responsible for Jury during Sheriff and Jury trials, organising their refreshments and being mindful of allergies, working with the seclusion of the jurors when considering their verdict.

     

Enquiry Office Assistant – Police Scotland - November 2001 – November 2013

  • Attending to all personal callers promptly at a busy Police Station and progressing any matters persons wish to report, provide all callers with accurate advice if required, oversee that appropriate behaviour, high security and confidentiality levels are maintained whilst providing a high level of service to every individual in attendance whilst being able to communicate with individuals on many levels, working at other Police Stations and changing shifts with little or no notice.

 

  • Proficiency in MS Office, also using police systems to check and glean sensitive information, obtaining and accurately recording confidential information on police systems/databases, maintaining/updating important and highly sensitive police files.  Working as part of a team delivering results.

 

  • Handling/executing/recording warrants and dealing with vast amounts of cash.

 

  • General administrative tasks which include:- answering all incoming calls and assisting with any matters/queries, handling and recording incoming/outgoing faxes, emails, escorting incoming visitors in the building, handling, recording and storing all incoming found property, typing police reports, statements and other important police related documents via written or dictation methods within very strict time limits.

 

  • Recording changes and dealing with important government registration papers for foreign nationals and persons under the Sexual Offences (Scotland) Act and handle Freedom of Information enquiries/request
  • Conducting all HORT/1 checks and being able to check and verify original copies of insurance, MOT and licence documents and recording all items officially within the HORT/2 book.

 

Presenter/Party Co-ordinator (part-time) Deep Sea World - October 1997 – February 2001

  • Entertaining and educating incoming visitors about marine life and animals, being a bubbly host/guide to visitors, staying updated and educated about new aquarium displays and answering any questions visitors may have.  Cultivating a supportive and inviting setting for both customers and colleagues.

 

  • During any downtimes, conducting cleanliness and hygiene checks of the public toilets, cafeteria and public display areas and take charge to clean these areas in the interests of public health and safety and to maintain strong customer service satisfaction.

 

  • Adhering to Health and Safety regulations as well as staying informed about protocols in the event of a fire alarm being raised within the aquarium.

 

  • Creating accurate and educational presentations and slide shows for visitors about marine life and animals.

 

  • Handling marine fish, sharks and snakes and ensuring their safety and wellbeing first as well as providing children with face painting whilst maintaining first class cleanliness of the face painting facilities and maintain Health and Safety regulations.

 

  • Hosting various birthday parties for children, training staff in this field.

 

  • Assisting with the training of all new staff in the role of Presenter.

 

  • Covering role of Team Supervisor during the post holder’s absence by preparing staff rotas, dealing with any staff or visitor issues and covering reception duties during meal breaks and assisting the Duty Manager with cashing up.

 

  • Attending and preparing for all monthly evening staff meetings, record and typing up minutes of each meeting and distributing them to all staff within Deep Sea World aquarium and that of its sister aquarium The Blue Planet aquarium, Cheshire, England.
