- Coordinate and manage the end-to-end lettings process, including advertising available properties, scheduling viewings, and conducting property inspections.
- Process applications from prospective tenants, conduct background and reference checks, and assist with the drafting and signing of tenancy agreements.
- Maintain accurate records of all transactions, contracts, and correspondence related to lettings.
- Serve as the primary point of contact for students seeking accommodation, addressing inquiries promptly and professionally.
- Provide guidance and assistance to students in navigating the accommodation options available, and being first point of contact once students have moved into accommodation to assist with any issues.
- Collaborate with educational institutions and student organizations to promote available accommodation options and tailor services to meet the specific needs of the student population.
- Cultivate positive relationships with landlords, tenants, and other stakeholders, ensuring their needs are met and concerns are addressed in a timely manner.
- Act as a liaison between landlords and tenants, facilitating effective communication and resolving any disputes or issues that may arise during the tenancy period.
- Conduct regular check-ins with both landlords and tenants to ensure satisfaction and address any maintenance or contractual concerns proactively.
- Stay informed about local rental market trends, particularly those relevant to student accommodation, and provide insights to inform pricing strategies and marketing efforts.
- Recommend improvements to existing processes and services based on market research and feedback from clients and tenants.
- Assist with general office duties, including answering phones, responding to emails, and maintaining office supplies and inventory.
- Generate reports, invoices, and other documentation as needed to support the smooth operation of the lettings department.
- Previous experience in property management, lettings administration, or a related field is preferred.
- Knowledge of relevant legislation and regulations governing tenancy agreements and property management.
- Strong interpersonal skills with the ability to build rapport and communicate effectively with diverse stakeholders.
- Excellent organizational abilities and attention to detail, with the capacity to manage multiple tasks simultaneously and prioritize effectively.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- A proactive and customer-focused attitude, with a commitment to delivering high-quality service to clients and tenants alike.
- This is a full-time position based in Leamington Spa. You will be required to work at least 1 in 4 Saturdays
