Description

The main purpose of the role is to undertake administration and hands-on general assistance duties within Plant, Transport and other required areas within the Procurement Department.


Main Duties include:


  • Assist as required with duties such as but not limited to: managing skip hire, requests for Plant and tipper transport via subcontractors, scheduling and monitoring vehicle service and repairs to company vehicles, company vehicle insurance, fuel management, achieving best value when procuring plant and equipment, completing Purchase Orders, producing location reports, ensuring plant/vehicle certification and records are maintained uptodate, checking invoices relating to purchase orders are accurate.
  • Undertake administration duties in support of other Procurement services within the company.
  • Provide holiday/sickness absence cover for Plant Controller.
  • Occasional driving duties, eg to collect/deliver vehicles.
  • When required, check vehicles on return and prepare them for reissue eg remove items, take to car wash, arrange cleaning/valeting, refuel.
  • Assist issue vehicles when required, ensuring the required procedure is followed.
  • Look out plant items in yard, check them prior to issue and ensure correct paperwork is in place.
  • Check plant items received back to the yard and ensure correct paperwork is completed.
  • Assist maintain Procurement store in an orderly, clean and tidy condition when required.
  • Undertake any other duties that may be reasonably requested by management.

  • Be responsible for the Health and Safety of yourself and anyone else that you could affect.
  • Be familiar with and adhere to the Company Health & Safety Policy and Procedures.

Environment

  • Reduce waste as much as feasible (e.g. avoid unnecessary printing/copying of documents, switch off lights/equipment when not in use.
  • Recycle items wherever and whenever feasible to do so.

Essential Criteria

  • Driving Licence essential preferably clean.
  • National 4, or equivalent in English and Numeracy
  • Competent user of Microsoft Office, primarily Excel and Outlook.
  • Previous experience of administration duties.
  • Ability to work as a flexible member of a small team.
  • Able to prioritise work tasks.
  • Able to work with mínimal supervision.
  • Good written and verbal communication skills in English.
  • Excellent time management.

Desirable Criteria:


  • Previous experience in a Plant, Transport or Procurement environment.
  • Previous experience within a Construction or Civil Engineering environment.
  • Previous experience of Navision/Evision or similar computer system.

Schedule:

  • Monday to Friday

  • Driving Licence (required)
