We have a brilliant opportunity to join us here at Phoenix Group as a Personal Assistant in the Operations team supporting 2 Heads of Department.

This is a fast-paced role where no 2 days are the same, so you'll have to thrive in a busy working environment and be able to juggle your workload to navigate the requirements of the team.

You'll work alongside an amazing team of professionals in our PA Hub, a centrally managed service in our Open Division.

The role
In your role of Personal Assistant's you will deliver a first class service to our stakeholders across the Open Division, supporting 6's Heads of Department to manage their time effectively to ensure they can focus on our customers and deliver business priorities


You will:

  • Provide a highly efficient, reliable and proactive secretarial service to business leaders to support their business effectiveness, including minutes of meetings.
  • Build effective working relationships with business leaders and senior stakeholders.
  • Develop and maintain a knowledge of the business to support business understanding and ensure secretarial support is as effective as possible.
  • Coordinate centralised processes such as travel bookings, stationary ordering, expenses claims etcto support the business leader or team.
  • Work with highly confidential and sensitive material and maintaining professionalism at all times.
  • Work in an extremely fast paced environment responding to requests often within short timescales.
  • Be able to be flexible and shift approach to a range of different leadership styles and business processes.
  • Be able to deal with multiple tasks and issues simultaneously.

What are we looking for?

  • You must have previous experience in a PA role supporting at Head of Level.
  • Excellent stakeholder management skills. You will capable of successfully interacting with all levels of the organisation.
  • You ensure absolute confidentiality and discretion and maintain a high level of professionalism at all times.
  • You are flexible and have a cando attitude.
  • You have excellent problemsolving skills and react quickly to both internal and external business needs.
  • Confident user of the Microsoft Office suite and working in a hybrid environment.
