Description of role and key responsibilities:

  • Meet and Greet Clients/External guests:
  • Create a Welcoming environment
  • Arriving Client/External guest on our System
  • Escort Clients to lift and call lift/ greeting clients on the 6th floor
  • Offer Refreshments to Clients/External guests while waiting and/or in the meeting room
  • Advising hosts/bookers of Client/External guest arrival

Meeting rooms:

  • Escort clients to meeting rooms, engaging in conversation
  • Regularly check all meeting rooms are clean and tidy
  • Ensure meeting changeover is done in a timely manner
  • Stocking meeting room stationery
  • Client/External guest environment:
  • Area/s to be always kept clean and tidy
  • Log any housekeeping issues e.g. light out, spillage, breakages etc. via the helpdesk portal (chasing/closing jobs)
  • Liaise and create good working relationships with all relevant departments: i.e. security, messengers, catering, audio visual, PA's, cleaners, tenants and other Investec offices etc.
  • Front of House / Reservations:
  • Communicate with both Front of House and Reservations regularly
  • Booking taxis/Cars with accurate requirements, host and destination information
  • Adding all services requires i.e. setup, catering, beverages etc.
  • Confirming all room bookings daily
  • Ensuring all information is correct at time of booking, i.e cost centres, hosts, and timings
  • Events:
  • Registration desk
  • Cloak rooms,
  • Escorting Clients/External guest to the event space
  • Signage
  • Liaise with internal and external event coordinators
  • Understanding Event topic/reason

Core skills and knowledge:

To always act with integrity and embrace the philosophy of treating our customers fairly (compulsory)

Customer Focus:
Ability to understand the needs of the client and provide customer service and superior client service.

Relationship Management and communication:
Ability to create and maintain strong relationships and channels of communication with key interfaces and the business.

IT Knowledge:
Knowledge of MS Office, Manhattan booking system and ability to deal with A/V equipment
