    Description

    Purpose of Role

    Provide enhanced administrative support to the Procurement Services Team.

    Key Duties & Responsibilities

  • A 'champion' for the ERP Purchasing Module, including Responsible for first-line support for ERP queries Delivery of 1-1 or small group training Responsible for the continuous development and updating of all training material / communications related to P2P/ERP Purchasing Module (e.g. SharePoint). Setting up new suppliers including vetting requests, using own initiative to know when to reject inappropriate New Supplier Requests **This should be less 'admin' in future with new self-service supplier portal. Liaise with Finance colleagues to continuously improve and streamline P2P process.
  • Responsible for the effective and efficient administration of the University's Purchase and Corporate Card programme, including: New applications/changes to accounts. Changes to Account limits. Month-end reconciliation process. Supporting with improvements to the scheme. Provide training to new Cardholders. First line support for all Card queries.
  • Provide a first port of call and advise internal University customers and external suppliers on contracted suppliers, as well as general sourcing support *Including travel queries and training.
  • Ensure queries are responded to and closed with targeted response times for the department.
  • Provide management information queries, category, resolution time etc.
  • Maintain and update the Procurement Services External and Internal website (SharePoint).
  • Responsible for the effective and efficient administration of the University's Amazon for Business programme.
  • Working alongside the Procurement Managers/Specialist to maintain and enhance the catalogues in the eMarketplace.
  • General Office Support (e.g. helping to coordinate training calendar, raising requisitions, etc).
  • Assist in the implementation of improved working practices and administrative systems.
  • Work as an integral member of the team and be able to cover for absences within the team.

  • Educated to SCQF Level 6 or similar or equivalent experience.
  • Competent in the use of relevant IT packages.
  • Well-developed interpersonal skills.

  • Demonstrable ability to work quickly, flexibly and accurately in a dynamic, changing and pressured environment.
  • Demonstrable provision of excellent customer service.
