Role description


The Exams Officer is a key member of the administrative team at Kings Bournemouth, based in the Academic department and working with the Academic Administrator, Director of Academic Studies, Principal and the Senior Leadership Team (SLT).


The post holder helps provide the administrative infrastructure necessary for the smooth running of the college's range of A-levels, GCSEs, pre-university programmes such as Advanced Level Foundation and external examinations.

This includes the complex and detailed quality-assurance procedures for internal awards and procedures to ensure compliance with attendance-recording and front line support.

The work involves a good deal of routine, data-entry and document preparation work but will also require integrity, judgment and imagination in dealing with individuals and solving problems as they arise.


Duties and Responsibilities:


  • Oversee all arrangements for all public and internal examinations e.g. GCSE and equivalent, A level and Foundation
  • Administer and organise all aspects of external exams as directed by the Academic Team, Director of Academic Studies
  • Provide data to senior leadership and teaching teams as required
  • Be a point of contact for staff and student enquiries
  • Oversee collection and storage of all endofterm exam/test papers for A-Level/GCSE/Foundation courses
  • Distribute GCSE/A-Level/Foundation certificates by using our DHL account
  • Administer all aspects of panel documents for the Foundation course
  • Liaise with heads of department in relation to the relevant exam boards and syllabuses studied to exam level
  • Prepare and distribute timetables for exams
  • Provide reports on exam results to teaching staff as needed
  • Receive, check, sort and secure external exam papers as they arrive
  • Coordinate the preparation and submission of entries to examining bodies.
  • Ensure all examination papers and stationery are delivered safely to the school, being responsible for their strict security and ensuring completed papers are dispatched promptly and appropriately.
  • Coordinate the team of invigilators, with the support of the Lead Invigilators, including recruitment, training, management and deployment of invigilation staff.
  • Make appropriate timetabling and room arrangements for the above and ensuring proper examination invigilation of the examinations is put in place.
  • Ensure that all examinations start and finish appropriately in line with examination board regulations including the conduct of any practical examinations.
  • Ensure that pupils are given all the necessary relevant information about examination entries, the dates and times of the examinations, conduct during examinations and the collection of results and certificates and that this information is given in good time.
  • Ensure that all necessary stationery and materials and other requirements are provided for examinations.
  • Initiate appropriate correspondence with and responding appropriately to correspondence from the various examination boards the school deals with.
  • Deal with issues relating to appeals, remarking and other administrative issues such as pupils who miss examinations through illness or who require special consideration.
  • Deal with enquiries from parents and students, including former students.
  • Receive examination results and certificates and arrange for their issue to students.
  • Work in liaison with the nominated of the Senior Leadership Team and School Data Manager to provide information related to public (and if required, internal) examinations in a format which is easily accessible so that effective examination analysis can take place immediately after results have been received and processed
  • Keep up to date with the necessary policies, procedures, rules and regulations laid down by the different examination bodies.
  • Participate in appropriate CPD appropriate to the role with the agreement of your Line Manager.
  • Undertake any other reasonable related duties and responsibilities of an equivalent nature, as may be determined by the post holder's supervisor from time to time, in consultation with the post holder.
