Background to the Post
Warwickshire College Group is one of the main training providers for apprentices employed by Jaguar Land Rover (JLR). This role is within the Engineering Apprenticeship and Jaguar Land Rover Department as an administrator for JLR Apprenticeships.

The administrator will provide support to the Work Based Learning Managers, Heads of Department/Work Based Learning and the JLR Apprentice Team.


Position in the Organisation
The person appointed will work as a member of the Engineering Apprenticeship and

Jaguar Land Rover Departments JLR Info Administration Team based at the Warwick

Trident College.

The post holder will work on the Jaguar Land Rover contract as the workload requires and will work on all tasks within the job description.

The post holder will be responsible to the HoD/WBL on a day to day basis.


Duties and Responsibilities

  • To provide administrative support using a variety of software packages such as Microsoft Office (Word, Excel, and Powerpoint), Google Drive (Google Sheets, Google Doc's, Google slides, Google Forms) and Gmail to produce correspondence, documents and maintain records, spreadsheets and databases.
  • Plus filing and photocopying and taking minutes.
  • Provide a high level of administrative support to Jaguar Land Rover Apprentices,
  • The Jaguar Land Rover Apprentice Team, Work Based Learning Managers and Heads of Department/Work Based Learning.
  • Inputting data using a variety of college IT Systems, including enrolment Apprentices and processing business enquiries.
  • To support the employer's (Jaguar Land Rover) with their own internal administrative policies and procedures such as sickness and absence reporting, disciplinary processes, resignations and terminations of employment etc.
  • Maintenance of accurate data systems.
  • To assist colleagues with the preparation of enrolment materials for distribution and filing.
  • To aid and support with the preparation of Corporate Social Responsibility (CSR) events that take place throughout the year and aid JLR Apprentice recruitment.
  • To monitor, log, support and facilitate all foundation phase apprentice 121 review schedules and behavioural review interviews in a timely manner in close liaison with the resident WBLM's.
  • To maintain a high level of data protection in accordance with all current and future Data Protection Act Policies.
  • To maintain equal opportunities in all aspects of the work of the team for staff, employers and learners.
  • To ensure a duty of care for the apprentice is always maintained both inside and outside of the office

In order to support during busy exam periods, you may be asked to undertake exam invigilator duties. The College will provide training.

Annual Leave


The College offers a generous annual leave entitlement to support staff, commencing with 25 days rising to 28 days after 5 years' service, pro rata per annum plus 8 statutory days (Public & bank Holidays) and College closure days (all pro rata for part time posts).


Hours of Work


The post holder will be expected to work such hours as are necessary for the proper performance of their duties and responsibilities, normally 37 hours per week.


Place of work
The principal place of work will be the College's premises based at our Warwick Trident

Centre.

However, the post holder may be required to work on either a temporary or an indefinite basis at any premises at which we may provide services.

In addition the post holder may be required to travel to any one of the Jaguar Land Rover sites in the West Midlands.
