With a strong emphasis on innovation, collaboration, and efficiency, we are seeking a dedicated Project Administrator to support the successful execution of our retail contract.

As a Project Administrator, you will play a pivotal role in ensuring the smooth operation of our retail contract.

Your responsibilities will revolve around efficiently managing work orders, processing quotes, handling escalations, coordinating tasks, and overseeing various administrative aspects of the project.

Your attention to detail, effective communication skills, and ability to thrive in a fast-paced environment will be essential in achieving project success.


Key Responsibilities:

Work Order Management:

Monitor and manage incoming work orders from clients, ensuring their accurate documentation, assignment to the appropriate teams, and timely execution.

Collaborate closely with field personnel and contractors to ensure work orders are completed within specified timelines and quality standards.

Quote Processing:
Efficiently process and manage quotes for maintenance and repair tasks. Liaise with vendors and suppliers to obtain competitive quotes, negotiate terms, and ensure timely delivery of services. Maintain a thorough record of all quotes for future reference.

Escalation Handling:
Serve as a point of contact for any escalations or issues that arise during the project.

Work collaboratively with cross-functional teams to address and resolve challenges, maintaining excellent client relationships and upholding the company's reputation for exceptional service.


Coordination:
Facilitate seamless coordination among internal teams, contractors, and external partners involved in the project. Ensure that tasks are aligned, resources are allocated appropriately, and project milestones are met.

Administration:
Maintain accurate project documentation, including contracts, agreements, work order status, and quotes. Keep records organized and accessible for audits and reporting purposes. Generate regular reports on project progress, highlighting key metrics and accomplishments.

Communication:

Communicate effectively with clients, internal teams, and stakeholders to provide updates on project status, address concerns, and gather necessary information for successful project execution.


Quality Assurance:

Monitor the quality of work performed by contractors and field personnel, conducting regular quality checks and inspections to ensure adherence to company standards and client expectations.


Qualifications:
Proven experience in administration, preferably in the facility management or retail sector.

Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.

Excellent communication skills, both written and verbal, with the ability to interact confidently with clients and colleagues.

Proficiency in project management software and tools for task tracking, documentation, and reporting.

Attention to detail and a proactive approach to problem-solving.

Ability to work effectively in a team and collaborate with diverse stakeholders.


Job Types:

Salary:
£25,000.00-£30,000.00 per year
