Administrative Support Officer - Full Time - Temporary / Temp to Perm contract - Immediate Start available


My client is an independent charity that began 10 years ago as a local London Healthwatch for Westminster, Kensington & Chelsea, and Hammersmith & Fulham.


Their engagement specialists bring together people who use services with those who commission and deliver them so that local peoples views are consistently reflected in the development of systems and workflows.

Currently looking for and Administrative Support officer, initially on a 3 month temporary basis however this position has the strong possibility of moving to a permanent position.


Overall Purpose

  • Responsible to the Chief Executive Officer for organising and managing the administrative activities that facilitate the smooth running of the organisation.
  • To support the Chair and Board of Trustees in fulfilling their responsibilities in relation to the organisation.
  • To support the effective keeping of financial records and making payments and providing general administrative support to the organisation.

Key Responsibilities

  • Issue invoices and manage the ontime collection of income.
  • Liaise with external payroll and bookkeeper on preparation of monthly payroll calculations, producing monthly management accounts.
  • Prepare and execute payments to suppliers and payroll and process monthly employee expenses.
  • Work with the CEO to prepare the annual budget.
  • Assist with the preparation of the annual accounts and assist the auditor in the external examination of the annual accounts.
  • Maintain an asset register.
  • Manage and operate the bank accounts.
  • Manage organisational contracts for the organisation including meeting spaces, equipment and telephones.
  • Monitor portals and maintain relationships with potential commissioners and funders.
  • Assign and collect equipment from starters and leavers.
  • Liaison with the external IT supplier company the set up for new starters.
  • Create accounts and provide access to new employees and manage purchasing of IT equipment and licenses for the team.
  • Support the recruitment of new employees advertising, reference checks, DBS etc.
  • Issue HR documents to employees and assist with any HR related queries/issues.
This is a full-time role with office based in Camden, North London. Hybrid working 2/3 days based in the office.
