Project Operations Coordinator

The Role


We are looking for our next Operations Co-ordinator to join our well-established Operations and Implementation team to become a crucial player in supporting the efficient functioning of our Software Projects.

We are seeking a dynamic individual to provide administrative and coordination assistance, ensuring the successful execution of projects within our organisation.

This role demands a combination of organisational, communication, and project management skills to enhance the overall effectiveness of our project management process.


Based from our Peterborough office, you will be accountable for delivering excellent customer service throughout the project cycle, with a focus on the pre-project/onboarding stage.

Your responsibilities will include internal project coordination, cost-effective and efficient procurement for the projects you process, and championing ongoing projects within the team.


Key Responsibilities:


Project Management Excellence:

  • Ensuring adherence to operational procedures, providing guidance to the team to ensure smooth project execution.

Customer Focus:

  • Maintaining exceptional customer service and communication throughout the project cycle.
  • Liaising with internal and external customers to guarantee the seamless running of our projects.

Procurement Management:

  • Managing procurement for projects and the business, emphasising smarter buying processes.
  • Liaising with suppliers, raising purchase orders, and ensuring timely deliveries.

Internal Customer Liaison and Project Champion:

  • Acting as the champion for ongoing projects, serving as a liaison between internal customers and the project team.
  • Ensuring that team operational procedures are consistently followed.

Comprehensive Project Documentation:

  • Populating and maintain projectrelated data to ensure accurate and up to date information.
  • Managing customer journey documentation throughout the project cycle.

Knowledge & Experience (required):

To be successful in this role, you will possess the following experience and skills:

  • Exceptional customer service skills with a focus on maintaining positive customer communication throughout the project cycle.
  • Experience in managing procurement processes, including raising proformas, orders, deliveries, and invoices.
  • Knowledge of supply chain management, including liaising with suppliers, raising purchase orders, and ensuring timely deliveries.
  • Ability to act as a liaison between internal customers and the project team.
  • Strong attention to detail in maintaining accurate and up to date project documentation.
  • Excellent communication skills, both verbal and written, for effective internal and external stakeholder communication.
  • Demonstrated ability to work collaboratively within a team and contribute to a positive team culture.
  • Willingness to engage in ongoing training and development for personal growth and enhanced role effectiveness.
  • Flexibility to undertake various responsibilities, ensuring effective project and business operations.
  • Strong problemsolving skills, with the ability to address challenges and find practical solutions in a timely manner.

Knowledge & Experience (Desirable):


  • Proven experience in coordinating implementation projects from order placement to support handover.
  • Strong understanding of project management methodologies and operational procedures.
