The Dyfodol service supports those in criminal justice services who have experienced issues with substance misuse.

Working front of house in reception requires someone confident, authoritative, caring and able to show support to vulnerable people in our service, showing dignity and respect.

Reception duties include handling telephone calls, welcoming visitors and dealing with them promptly and courteously.

We are looking for an organised and self-motivated individual to provide an efficient and professional administration service for our Dyfodol service.

To maintain and update data as required, in a timely and accurate manner and produce information for reports as required by managers and relevant others.


Key Responsibilities:


  • Act as a first point of contact ensuring visitors receive a friendly and efficient service and all calls and visits are dealt with promptly and courteously.
  • Support the team with data recording, photocopying and general administrative tasks.
  • Act as the Single Point of Contact for the main phone number and deal with calls efficiently.
  • Supporting the case management team with drug testing (following training), issuing appointments, noting behaviour change and sharing concerns with colleagues with any signs of distress in those who access our service.
  • Assist with data collection using spreadsheets and web based case management systems.
  • Managing functional mailbox, dealing with enquiries and forwarding messages to the relevant person in a timely manner.
  • To maintain and update databases.
  • Contribute to the preparation of data for monthly and quarterly reports in a timely and accurate manner.
  • Assist with purchasing processes, ordering supplies and monitoring stock.
  • Manage petty cash.
  • Support the manager to maintain a safe environment and help maintain health and safety records and tests.
  • Distribute information to all team members as required including Information Bulletins and changes to policies etc.
  • Work flexibly to maintain the most appropriate level of service provision. There may be occasional travel to provide cover at other sites and for training and administration meetings.
  • Participate in training and supervision processes.
  • Arrange and support meetings as required, including note taking.
  • Undertake other duties appropriate to the grade of the post.

Essential Skills:


  • Organised and methodical.
  • Eye for detail.
  • Ability to access Police systems (Enhanced Police vetting will be required for this role).
  • Understanding data protection / GDPR requirements.
  • Confident communicator both verbally and in writing.
  • Work as part of a team.
  • Respond flexibly to the needs of the service.
  • Capacity to work along and the ability to keep calm under pressure.
  • Ability to manage time effectively.
  • Understand and have a commitment to the principles of equal opportunity and diversity.
  • Must have full driving license and access to their own transport.

Desirable Skills:


  • Ability to speak Welsh.
  • Previous experience in a similar role.
  • Understanding the issues facing vulnerable groups
