Description

We are looking to recruit an enthusiastic part time member of staff to complement our existing administration team within the discharge team.

Responsibilities include acting as the first point of contact for all telephone enquiries, and face-to-face enquires, to work under your own initiative but to be aware of when issues need to be taken to other team members.

You will be responsible for the health & safety of the office environment and will provide a complete range of administrative tasks.

Answering the telephone

Attending Touch point call and updating the Patient spreadsheet

Monitoring shared mail boxes

Taking minute's for meetings

Act as Fire Warden in the team (will need to attend further training for this)

Daily assessment of the office environment and actions taken to rectify any issues.


General admin such as:
filing, leaflet restocking, printing, going to the post room and laminating.

First point of contact for the Discharge Department, whether by telephone or face-to-face in the department.

Updating daily lists

Act as Fire Warden in the team (will need to attend further training for this)

Daily assessment of the office environment and actions taken to rectify any issues.

Management of own workload and prioritising of tasks to ensure that deadlines are met.

Organise meetings as required, negotiating with all possible attendees including patients, families and external agencies as well as internal.

Responsibility for maintaining supplies of stationary, leaflets for the team, wards/departments,

Produce accurate and consistent documentation of meetings.

Support ward staff in the correct use of the referral process for care in the community.

Support team members with use of Microsoft Office programmes as required.

Support team members with administration involved in delivering training to others.

Maintain training records of staff members, ensuring that courses are booked and staff informed.

Use of Word documents to produce accurate minutes of meetings, letters to patients/families and records of discharge co-ordinator input.

Produce accurate and consistent documentation of meetings.

Formatting of documents to produce user-friendly templates

Creation of leaflets, posters and flyers to disseminate information.

Use of Excel spreadsheets to record delayed transfer of care information.

Collation of spreadsheet information to produce weekly reports on delayed discharges for

Assist with daily reporting of delayed transfer of care information to senior management and external agencies.

Understanding of confidentiality with regard to transference of information and storage of such.

Assist with collating information from discharge documentation audits.

Assist with presenting information from audits in accessible ways.
