Description
We are currently looking for a Contracts Coordinator. Reporting directly to the Contracts Manager. To work in co-operation with all company personnel within the office and on site. To liaise with the various Contractors in a professional capacity at all times.

Job duties and responsibilities

  • Ensure standard operating procedures are followed at all times in the contract department.
  • Work in cooperation with all company personal both inside and outside the office.
  • Address and respond to customer queries
  • Carry out any research as necessary to obtain relevant information for the customer.
  • Update relevant information on the Contracts Master Schedule as projects progress.
  • Obtain missing information on contracts sheets e

g:
addresses (invoice & site), telephone numbers, and contact names.

  • Supporting other members of the contracts team with unforeseen events on site.
  • Monitor site engineers work activities and allocate additional works when possible to maximise a full working day in instances of early finishing.
  • Liaise with the company H&S manger to ensure each contracts RAMS, test certs, site passes etc. are in order and available.
  • Collate relevant information, photographs, drawings etc. to send to site engineers.
  • Liaise with transports companies to establish their effectiveness and cost efficiency to our company.
  • To work with all relevant staff and departments to process all contracts in a diligent manner and within the accepted time scales, costs, customer's instructions and code of practice.
  • To administer and record all contracts and price variations on ongoing contracts.
  • Organise workload and using logístical statistics to plan and organise, raise and assign work for engineers and each week.
  • To take appropriate action, either verbally or written to ensure each contract is administered smoothly and trouble free.
  • Previous experience in a similar environment/role preferred
  • Will be a strong communicator, confident liaising with clients, engineers and staff internally.
  • Competent in prioritising multiple projects, to meet the clients and business needs.
  • Competent in Microsoft Office.
  • Demonstrate ability to plan, organise and prioritise work (for yourself and in support of team members).
  • A good standard of literacy and numeracy
  • Be able to work with mínimal supervision and to specific deadlines
  • Be neat and methodical in their work
  • A strong level of understanding of health and safety legislation
