Post information Role title Integrated Mental Health Team (IMHT) Administrator Location(s) Hub - TBC The postholder will be expected to work from GP bases within the South Bristol locality.

Contract This is a permanent position working a 37.5 hours per week.


Job profile Role summary:
To provide comprehensive administration support to system-wide multi-disciplinary team.

This requires the postholder to have good partnership skills, working with NHS, social care, voluntary sector and Lived Experience leads.

The post holder will be highly motivated, flexible, and multi-skilled with excellent organisational skills. They will possess working knowledge of Microsoft Office systems, including Word and Excel.

The post holder will be able to work to high standards and will be required to take personal details from people and upload onto the electronic patient record system (Rio).

The post holder will work with and within South Bristol GP Practices to champion the voice of general practice into the IMHT partnership, understanding general practice operations, challenges and strengths.

The post holder will need to meet deadlines, collate data and maintain standards relating to administrative processes. They will need to be able to work within a team effectively and share work where appropriate. The post holder will be expected to work without direct supervision and manage their own workload.

The post holder will be key in maintaining diaries and arranging meetings, taking formal minutes and keeping appropriate records on the most up to date templates.

They will work with partners to ensure that trauma informed, and culturally inclusive care is provided, supporting all South Bristol communities, particularly those experiencing the greatest inequalities


Main duties and responsibilities:

Build and maintain good working relationships with a broad range of internal and external stakeholders to develop partner engagement and understanding of the IMHTs, including: - Medical Staff Multidisciplinary Teams (Community or Inpatient) - Service Users and Carers - Health and Social Care Teams - Community and Voluntary Sector Organisations - Other statutory partners, e.g.

Local Authority, Criminal Justice.

Support the IMHT Manager in the day to day running of the IMHT Set up and coordinate IMHT meetings and lead on all administrative aspects relating to the IMHT Minute IMHT discussions ready for approval Coordinate and maintain the actions logs arising from IMHT discussions Review recommendations for those to be brought into an IMHT and identify gaps in information for lead professional to address prior to discussion.


Maintain necessary documentation to ensure smooth running of the IMHT To assist with the compilation of reports and presentations relevant to the work of the IMHT Collect feedback from the IMHT members and organisations to support continued evolution of the model of delivery Maintain live Directory of Services with key contacts to ensure appropriate support can be accessed in a timely manner Undertake other tasks as identified by the IMHT Manager.

Ensure governance and confidentiality guidelines and requirements are fully adhered to, processing all communications appropriately within guidelines Undertake other tasks as identified by the IMHT Manager.


Communication:

To listen, question and challenge positively and encourage others to do so To manage both telephone and face to face contacts with distressed service users in a supportive and empathetic manner.

To receive and open mail (paper and electronic as necessary) and distribute/despatch accordingly ensuring appropriate action is taken with high priority items.

Excellent communication skills, written and verbal, with a wide range of people. An ability to communicate using tact and persuasive skills where required. Exchange verbal and written information with patients, staff and carers relating to appointments, admissions and meetings etc. Support the planning and facilitation of stakeholder activities e.g.

workshops Support the sharing of results and celebrating success Seek and take opportunities to promote South Bristol ICP Patient /

Service User Care:
Hold in mind population health, improving health outcomes and social wellbeing throughout work undertaken Champion co-production with expert patients, carers and the public in progressing the development of the IMHT approach within the integrating health and social care system


Organisation and Planning:
To support the IMHT Manager to communicate planned benefits fully with relevant stakeholders and ensure that agreed timetables and deadlines are met To support accurate and timely reporting of progress with the provision of performance against targets for the agreed key performance indicators or measures for improvement To keep accurate logs of risks and issues ensuring mitigating actions are agreed with stakeholders and implemented accordingly To appropriately escalate issues affecting IMHT delivery to the IMHT
