Gallery Administrator, London, temp role, £13.00p/h plus holiday pay

Our client, a renowned arts organisation, requires an Administrator to start in asap.

This is a temporary position which is expected to last until the end of January, and is within the Educational Department.


Main duties of this Administrator role are:

  • Recording all expenditure through logs, chasing and processing invoices, verifying card transactions and approving invoices using financial software, reconciling management reports each month, writing contracts and setting up new suppliers
  • Act as first point of contact for queries
  • Schedule team meetings, booking meeting rooms, arranging AV, and taking, circulating and filing minutes at meetings
  • Collate audience figure data, insights and documentation relating to teams' programmes and projects for internal evaluation and external funder reports
  • Update and maintain teams' planner spreadsheets and support communication of teams' activity by contributing to dept. activity planners and key comms documents
  • Liaise with colleagues to align and share admin and operational processes
  • Undertake general admin and record keeping
  • Organise and minute key meetings and team meetings
  • Circulate agendas for meetings in advance
  • Ensure minutes are archived appropriately
  • Booking meeting rooms and catering as and when required
  • Maintain office systems and equipment
  • Collate information for regular Departmental Reports
  • Provide general and flexible administration support and assistance as required
Skills and experience

  • Excellent administrative and organisational skills
  • Solid experience in a similar role within a gallery or museum
  • Ability to work well under pressure and complete multitasks to meeting deadlines
  • Strong attention to detail
  • Effective writing skills
  • Understanding of the principles of equality, diversity and inclusion
  • A team player, contributing positively to team goals with a proactive, flexible and collaborative approach
  • Proven experience in a range of administrative and financial duties within a busy office environment
  • Excellent numerical skills and experience keeping records and following financial processes
  • Very well organised with good prioritising/multitasking skills, and ability to remain calm during busier periods
  • Excellent interpersonal and verbal communication skills, with the ability to convey information clearly in a way that is accessible to a diverse range of people.
  • Excellent IT skills, in particular MS Word, MS Outlook, Excel and PowerPoint as well as accurate keyboard, word processing and spreadsheet skills.
  • Interest in supporting young people to access and engage with art and culture.
  • A flexible, adaptable and willing approach to work to respond to varying priorities
