JOB TITLE:
Operations Assistant


PURPOSE OF THE JOB:


To assist in day to day matters relating to the running of HMM's feeder operations, providing backup to feeder and out-port terminal service operations and other matters relating to operations.

To provide support and assistance to the department by handling the processing of various types of feeder services invoices, which will also include a level of auditing, in addition the production and consolidation of statistical data, which can be used within the department as part of management and performance reporting and to provide general administrative support to the members of the department.


MAIN JOB RESPONSIBILITIES:


  • Timely administration of tariff maintenance and rate inputs for feeders and terminals (Internal System-COMPASS) including BAF/ETS calculation and implementation.
  • Assisting in day to day work inquiries from local European offices relating to feeder services.
  • Handling the approval & input of various types of invoices related to feeder service operations.
  • Assisting with cost audit & control of invoices for feeder services.
  • Troubleshooting and resolving routine and some complex issues raised by local HMM European offices, third party agents and EHQ departments, in relations to invoice processing 'COMPASS' functionalities.
  • Identifying and suggesting improvements to inhouse terminal and feeder systems (COMPASS).
  • Responding to requests for rate and invoice information from various departments including EHQ & Headquarter departments.
  • Assisting Assistant Operations Manager with projects when requested.
  • Compiling various reports for management meetings and cost performance monitoring for the Assistant Manager/General Manager.
  • Reporting to the Assistant Manager on internal contract compliance issues.
  • Providing backup regarding outport terminal service issues, invoicing and rate input and rate requests in the absence of the responsible team member.
  • Complete feeder space forecasting as well as other weekly, monthly, yearly reports for management.

PERSON SPECIFICATION

WORK SKILLS, GENERAL AND SPECIALIST JOB KNOWLEDGE:

  • Experience in container shipping operations or purchasing preferred but not essential
  • Experience in an office administrative role which involves handling invoices/basic reporting work.
  • Knowledge in special business pricing out of gauge cargo is advantageous.
  • Knowledge of feeder services in a shipping line is advantageous.
  • Excellent Microsoft Office skills and ability to work with inhouse IT systems.

EDUCATION:


QUALIFICATIONS:

Degree in similar or relevant field is desired but not essential.


PROFESSIONAL BODY:

A relevant professional qualification is advantageous.


PLEASE NOTE:

This role is based in our
London office 5 days per week.
