Description
This is an exciting post to provide secretarial support to the respiratory specialist nursing team. The respiratory nursing secretary will provide an efficient, confidential and professional secretarial service. This will include administration and secretarial support to enable provision of patient care and specialty services.

It will also include the organisation of the respiratory nursing clinics and answering the phones to patients and other callers.


Good communication with patients, relatives, general practitioners and other hospital staff is essential to ensure a proficient, high quality service for patients and clinicians.

You will be expected to work as part of the respiratory nursing team but will also support the secretarial team as needed.

You will have support and training from both teams as needed who work closely together.

This post will provide essential administrative and secretarial support to the respiratory nursing team.

They will provide the first communication with patients when they call the respiratory nursing helplines and direct patients to the clinician whilst maintaining records on appropriate computer systems.

They will provide organisation to the respiratory nurses office with filing and appropriate ordering of essential supplies/ consumables and will do national audit data inputting with support from the team.

They will also complete typing correspondence to patients, GPs, medical staff and any other required addressee, following clinical attendance or other patient contacts, therefore require a good command and understanding of English, punctuation and grammar is essential.


We are looking for someone who has excellent presentational, communication and interpersonal skills and is able to work in an ever changing environment.

They must have proven organisational skills and be self-motivated and able to work under own initiative and prioritise workload.

  • Booking followup appointments as requested by the clinical team if appropriate, including negotiation of dates with the patient and creating correspondence (where required)
  • Ensuring that any vacant slots are fully utilised and acted upon, including informing the Booking Office, to maximise capacity
  • Booking investigations as requested by the clinical team, including negotiation of dates with the patients and creating correspondence if appropriate
  • Ensuring that arrangements are made that achieve the Trust targets and are reflected on IT systems in a timely manner
  • Typing correspondence to patients, GPs, medical staff and any other required addressee, following clinical attendance or other patient contacts as directed by the secretary supervisor
  • Issuing typed correspondence
  • Take and transcribe minutes as appropriate
  • Ensure all filing is done in a timely manner
  • Liaising with external organisations for the benefit and progress of patient care, such as Social Services, other hospitals, etc
  • Diary management, including making appointments, booking meeting dates and venues, organising and distributing paperwork as required by the Clinical Team/Supervisor.
  • Support the secretarial team with typing and filing where able
  • Communicate effectively with patients, carers, relatives and all members of the multidisciplinary team
  • Maintain and develop high standards of care
  • Conduct oneself in a professional manner
  • Work proactively to ensure that every patient attendance meets the patient's expectations and needs with timely undertaking of procedure and effective communication with relatives, patients and carers
  • Taking telephone calls from patients and other callers then using hospital systems to upload the patient details where required
  • Complete audit on national databases under the supervision of the respiratory nurses
