About the Role:


Lister Medical Centre in Harlow have a vacancy for an administrator to join the practice on a full time basis Monday to Friday 8.30am to 4.30pm.


This is a role established to support the practice manager/assistant practice manager in carrying out the day to day activities of the practice and to act as a focal point of communication between the GPs, and other members of the primary health care team.


The post holder will work closely, and under the direction of the management team to improve standards across a wide range of clinical and administrative activity, ensuring administrative and clerical duties are carried out within the practice's guidelines and policies and to ensure the day-to-day activities of the practice are carried out accordingly.


You will be responsible for the following:

  • Scanning and filing of all staff correspondences in personnel files
  • Under the direction of the management team to update staff training, ensuring all staff have completed their mandatory training and has been recorded accordingly.
  • Liaise with external agencies for staff training courses and book appropriately
  • Have an awareness of the various statutory requirements and assist in the implementation of these as directed by the management team. There is a need to work closely with staff members and clinicians to ensure the smooth running of the practice, reporting any problems encountered to the relevant person.
  • Keep the management team informed of any matters arising or problems / potential problems
  • Liaise with the practice's maintenance firm to notify them of any works required and arrange repairs relating to premises as necessary and directed by the management team
  • Liaise with GPs when a patient requests to change their GP, to action accordingly on system 1 and inform the patient accordingly
  • In liaison with the management team, help with the recruitment process
  • In liaison with the assistant practice manager, assist with the writing of and updating of policies/protocols and procedures as required
  • Take and type up minutes and produce agendas for monthly meetings
  • In liaison with the assistant practice manager, to update the risk register as required
  • Under the direction of the management team, help with patient complaints, updating electronic files, paper files and the complaints tool kit, sending patient acknowledgement letters and completing simple complaints
  • Ordering of goods/equipment in liaison with the relevant department.
  • Laminating and photocopying as required
  • In liaison with the IT administrator, to liaise with RPM in relation to telephones and call recording systems.
  • In conjunction with the management team and IT administrator, to update the website as required.
  • In liaison with the IT administrator, complete the patient request for Online Service requests on System
  • To run the daily SCR (in the absence of the IT administrator) and complete any actions as required
  • To arrange for the yearly calibration of all medical equipment as required and ensure the log is kept up to date.

  • Experienced medical administrators, with excellent IT and typing skills;
  • Adaptable and friendly, with strong administration, time management and organisational skills;
  • Excellent communicators able to work in a confidential and discreet manner;
  • Able to "think on their feet" in a busy working environment;
  • Able to multitask, work hard and maintain a high level of attention to detail, when under pressure;
  • Able to work as part of a multidisciplinary team, as well as comfortable working independently.
Some flexibility is required as you will sometimes need to work additional or alternative hours to cover for colleagues.

We are a friendly, supportive, democratic, well organised and enthusiastic GMS Practice, dedicated to providing traditional family orientated general practice based at a new purpose built single site health centre in Harlow.

We currently have approx 20,000 patients, 5 partners, 4 salaried GPs, a large nursing support team and a vast array of administrative staff.

We are a training practice and also a teaching practice for Cambridge students. We are also a research practice.


We are consistent high achievement in all QOF and Enhanced Services areas with an innovative team structure with individual patient lists (around 2,500 per FTE GP).

We operate the SystmOne computer system. We are active members of our local GP federation and alliance.


Lister Medical Centre has easy access to M11/M25 and is close to London and Stansted and attractive Essex and Hertfordshire countryside.

We are also fortunate to have excellent schools locally.
