Description

You will work under the indirect supervision of the Managing Partner/Director and undertake tasks and duties delegated by the Head of Business Intelligence following policy and procedures.

You will support the Business Intelligence Manager in the provision of patient care and general business support at all sites or establishments.

You will manage the Clinical Administration Support and Referral Team (CAS) and tasks ensuring to provide a caring quality service to patients in all aspects of their relationship with the practice.


You must work at all times within your own competence and use your own judgement, knowledge and common sense in your day-to-day activities.


Job responsibilities
The duties and responsibilities to be undertaken may include any or all of the items in the following list.

Duties may be varied from time to time under the direction of the Head of Business Intelligence or Business Intelligence Manager, dependent on current and evolving practice workload and staffing levels.


  • Train and guide all practice staff in the use of read codes.
  • Assist with the retrieval of records, note entries, scanning and processing of documents and correspondence in patient medical records
  • Oversee the preparation and summarising of patients records ensuring business policies and procedures are adhered to.
  • Manage the administration responsibilities for processing requests for NHS work that is received from third parties and patients.
  • Troubleshoot electronic mail including pathology/laboratory.
  • Responsible for quality data collation and presentation and that of your team.
  • Deliver clinical audit activities.
  • Oversee and undertake systematic, critical analysis of quality medical care.
  • Proactively support focus groups in identifying and targeting patients for assessment and treatment.
  • Manage and assist with the collection data for enhanced/additional services.
  • Deliver clinical trials administration.
  • Interrogate data for audit purposes when required.
  • Oversee the patient registration process including temporary residents out of area and immediately necessary treatment following business policies and procedures.
  • Proactively provide leadership and assistance to Practice and Trust staff as required.
  • Manage and deal with GP2GP processes.
  • Manage and participate in the process of SystmOne EDI Links on a daily basis.
  • Ensure that patient records and deductions are dealt with appropriately, as per policy and protocols.
  • Oversee staff starter and leaver processes ensuring team members adhere to protocol.
  • Assist with the troubleshooting of IT problems and be responsible for the reporting of any issues or problems with PCs/printers/telephones and networks.
  • Recognise and work within own competence and in accordance with your job description.
  • Undertake additional tasks as required within your general role as Clinical Support Team Leader.

Management duties and responsibilities:


  • Deputise for and support the Business Intelligence Manager and Head of Business Intelligence as required.
  • Manage Health & Safety and educate staff.
  • Participate in meetings as required.
  • Monitor staff timetables ensure adequate cover.
  • Provide managerial supervision, support and professional leadership.
  • Have a full understanding of the clinical appointment system.
  • Oversee Information and Management Technology within your scope.
  • Oversee maintenance of site and equipment taking remedial action to resolve any problems.
  • Undertake annual staff appraisals and personal development plans for your team.
  • Participate in the recruitment and selection and induction process.
  • Monitor staff records in line with protocol.
  • Liaise with the management team regards staffing and organisation of work.

Terms and Conditions

Salary:

Salary is dependent on skills and experience. Pay progression will be dependent upon annual performance appraisal.


Annual Holiday:

27 days plus bank holidays pro rata (holiday entitlement will increase as a reward for loyalty and service).

Working hours:

Full-time position 38 flexible hours per week over 5 days (Saturdays on a rota)

The Surgeries will be open 7.30 am to 8.00 pm weekdays and until 1.00pm Saturdays.

Your exact weekly hours will be agreed according to service and individual needs and will include evening and weekend sessions (possibly on a rota).
