Role Purpose:

Assist the EFM Performance and Support Partner, undertaking a supervisory and administrative role, assisting the department in achieving objectives.


Liaise with all other sections of EFM to ensure the Business Support teams provide the service required to enable consistent delivery across all areas.


Key Responsibilities:


  • Assisting and deputising for the Performance and Support Partner.
  • Managing and overseeing the EFM Business Support Team, Estates and Facilities Helpdesk, Technology Forge asset management system, HQ reception, force mail services and ensuring knowledge of transactional functions is embedded throughout EFM.
  • Supervision and performance monitoring to include appraisal, discipline, recruitment/selection and welfare of all staff under direct line management.
  • Contribute as appropriate to overall objectives of the Department (Business Plan) by implementing administrative policy, actions/projects from the business plan.
  • Prioritisation of work and scheduling of staff utilisation and general support cover in line with staff members' existing banding and role profile, ensuring service/office cover is maintained from the start until the close of usual business in accordance with a rota, to ensure cover is maintained across all these areas between 8am and 5pm Monday to Thursday; 8am and 4.30pm on Friday.
  • Ensure that diaries and inboxes of SMT are managed effectively and that corporate EFM meetings and other meetings are serviced as required.
  • Develop an ethos of excellent customer service so that the principles become embedded in the level of service provided by the teams within the postholder's remit.
  • Implement recommendations and strategies from business planning process, monitoring action plans as needed.
  • Coordinate policy and procedural instruction reviews by supporting the responsible Managers and ensuring their completion within deadline.
  • Provide support to EFM colleagues in the wider team in ensuring the delivery of projects and schemes and accommodation moves.
  • Promote and develop effective working relationships with partnership agencies.
  • Assist the Performance and Support Partner in reviewing all significant risks within EFM, in accordance with the force Risk Management Strategy.
  • Assist the Performance and Support Partner with the coordination and implementation of the Estates Strategy, the Estates Strategy Delivery Plan and the Sustainability Strategy.
  • Assist the Performance and Support Partner with the preparation and coordination of the EFM Business Continuity Plan.
  • Responsible for Health & Safety issues and risk assessments in own area of business. Ensure observance and compliance with the principles of the Data Protection Act and information governance best practice.
  • Any other duties commensurate with the grade of the post and to ensure resilience in the EFM service.

Skills and experience:


  • Ability to travel to other locations within the Force area.
  • Has or must be willing to work towards a Level 5 (degree level) Management Qualification.
  • Management and Supervisory Experience.
  • Ability to manage and prioritise own workload.
  • Demonstrated ability to work as part of a team.
