Responsibilities and duties:


  • Ensure all vehicle information is recorded and filled in correct vehicle files.
  • Update vehicle contracts with dates, rates, chassis number, registration numbers and add to Key
  • Update relevant departments of all new vehicles status's such as OTR dates, compliance documents, finance documents.
  • Vehicle added to buildsheet and SA number supplied.
  • Supplier asked for estimated delivery day (to be monitored and chased/revised on buildsheet)
  • IT to be informed if new customer so automated reports & portal log in's can be set up.
  • O Licence and insurance details to be gained from customer.
  • If chassis and registration number allocated then this. can be added to Jaama and build sheet.
  • Vehicle arrived and bodybuilder/dealer build sheet updated.
  • Liase with each supplier at each stage to ensure communication of arrival at next build stage all the way through to PDI (build sheet being updated at each stage)
  • Raise any engineer sheets in Key2 and allocated engineers labout and parts if required.
  • Ensure we have reg and chassis number and Jaama is updated.
  • Plan delivery date and update POD and advise customer.
  • Ensure we get proof of registration and tax from dealer and ensure all other compliance documents are received.
  • Compliance and finance documents are checked against vehicle and scanned
  • IT to be informed of imminent delivery so reports can be made live prior to delivery.
  • Contract and all other financials implemented on Key2 and final check from compliance supervisor of all Key2 items including checking service planner to ensure event spread of inspection & MOT numbers.
  • Load and administrate all vehicle movements onto POD system
  • Manage and oversee the administration of vehicles coming off fleet with regards to EOC and excess mileage
  • Uploading EOC Charges into KEY2

Salary:
£21,000.00-£23,000.00 per year


Schedule:

  • Monday to Friday

Ability to commute/relocate:

  • Ipswich: reliably commute or plan to relocate before starting work (preferred)
