The Role of the Academy Secretary

Main Accountabilities
Lead on the administrative duties for all Academy Development Phases


These tasks include:

  • Compliance & Regulations_
  • Point of contact between Club and League including submission of all required information
  • Ensure Academy compliance with all rules and regulations of the various football authorities and the timely completion of relevant documentation
  • Ensure that all contact with players complies with the Club's Safeguarding Policy and that any concerns are shared with the Safeguarding Team through appropriate channels.
  • To ensure all aspects of football rules, regulations and requirements are fully communicated to the Academy Management Team, the Academy Governance Committee and advise relevant personnel of the Club's obligations and responsibilities under the relevant regulations
  • Support Academy Operations Manager with all external audits, preparing documentation and briefing Heads of Department
  • Player Registration & Eligibility_
  • Facilitate the registration of all Academy players in accordance with YD rules including loans and triallists
  • To conform and monitor player eligibility
  • Administration of the annual player retain and release process
  • Matches_
  • Liaise with opposition clubs on the arrangements for both home and away matches
  • Manage the arrangements and reporting requirements relating to match officials and emergency services for all fixtures
  • Manage directors, scouts and visiting officials guestlists for matches at our Academy Stadium
  • On call for matches to ensure smooth matchday operations with the Academy Operations Manager
  • Supporting our Academy's Growth_
  • Embedding new administrative systems and processes for U9-U16 age groups
  • Admin support to Academy Director and the Academy Management Team
  • Attend as requested internal meetings, internal and external CPD events
  • Other adhoc duties as necessary to ensure smooth running of the Academy
  • Management of and dealing with a range of queries from other departments of the football club on a daily basis.
