Administration Officer

MediServices Healthcare - Redditch B98

Monday - Friday 9am-5pm

Role and Responsibilities


To provide administrative support through the booking of clinics and investigatory procedures to support NHS trusts to relieve waiting list pressures and enable departments to run at maximum efficiency.


Purpose:

To assist in the smooth and efficient operation of the MediServices office through the implementation and operation of administrative systems and work practices.


Main Duties and Responsibilities

  • Maintain internal databases, for example, SharePoint, Clinic Office, Outlook and Excel.
  • Liaise with hospitals, patients, clinicians and healthcare staff to book clinics and investigatory procedures.
  • Accurately record all calendar bookings and system data input for all referrals, appointments, reports and follow up.
  • Accurate and timely issuing of all appointment letters and reminders.
  • Conduct patient experience followup telephone calls.
  • Maintain organisational systems and processes to ensure efficient control and storage of all information and records.
  • Undertake a range of recordkeeping and monitoring tasks, complying with GDPR, patient confidentiality and organisational requirements.
  • Undertake appropriate training and development activities to meet the requirements of the post.
  • Comply with organisational policies and procedures at all times.
  • Work in a flexible way in order to support colleagues to ensure an effective service is given.
  • Book hotel accommodation and Health Care Assistants where required.
  • To undertake any other reasonable duties in line with the general responsibility of the post, including:
  • Providing administrative support to the management team.
  • Ability to maintain and update Patient Information Systems as required.
  • Able to communicate effectively at all levels, both written and verbal. Good interpersonal and communication skills for dealing with patients, carers and professionals, in some cases where there are barriers to communication or understanding.

Qualifications and Experience

  • GCSE (Grade C or above) in English and Maths, or equivalent. Essential
  • Relevant experience within a secretarial or administrative role. Essential
  • Experience of marketing activities to include posting on social media (LinkedIn and Twitter) including Canva. Desirable
  • Experience of financial procedures inclusing credit control, invoicing, chasing payments and reconcilliation. Desirable
  • Experience of working in a medical or healthcare environment. Desirable
