About us
Petroineos Refining and Trading is one of the largest independent refiners trading in Europe. We are seeking an experienced Maintenance System Coordinator to join our Terminals Team at our Grangemouth site on a full
- time permanent basis.


Purpose of the role


The Maintenance System Coordinator will oversee all aspects of the Computerised Maintenance Management System (CMMS) - Maximo for both Grangemouth & Dalston Terminals.

This role is accountable for monthly KPI's and reporting on the system performance to drive the maintenance activities.


You will be responsible for prioritising the workflow activities for the specific trades whilst understanding areas of the potential impact on Operations and minimizing disruptions to ensure full optimisation of the asset.


Key Accountabilities:


  • Actively engage with the Maintenance process whilst updating key stakeholders throughout the life cycle of the Work Order and simultaneously ensuring an appropriate volume of work is flowing efficiently
  • Challenge, action and own all emergent Service Request/Work Order's ensuring accuracy and fullness of data
  • Systematic reviewing of new and emergent Work Orders & Service Requests to maximize efficiencies and identify trends
  • Produce weekly work schedules and information required for all works to be executed and route accordingly
  • Carry out work completion confirmations with relevant group
  • Arrange timely receipts of all contractor Risk Assessment Method Statement and ensure they align with company standards
  • Arrange track and drive all endorsable and statutory inspections to achieve full compliance
  • Coordination for swift and appropriate remediation of all Rime 1 and 2 work scopes within the expected timelines
  • Accurately estimate all third party RIME 1's using the Petroineos Estimator tool
  • Monitor and control work requests, stores requisitions, equipment history, spares holding and failure reporting in order to facilitate the safe, smooth operation of the maintenance and planning systems
  • Review & coordinate all asset maintenance periods are correctly aligned dependent on asset operation. i.e. move weekly maintenance to monthly, ensuring Engineering team approvals for each change
  • Assess routine material, spares and service requirements and raise purchase requisitions, directly consulting catalogues, manufacturers, suppliers and Petroineos purchasing staff
  • Reporting of Maintenance KPI's to understand and monitor the effectiveness and efficiency of the Maintenance process to Terminal Management
  • Complete a twice yearly detailed Assurance Audit on system performance and provide report output
  • Liaise with external suppliers, Original Equipment Manufacturer's and third parties to identify spare parts, drawings and specialist tooling to improve maintenance activity execution
  • Complete a rolling update of all maintenance tasks to capture any changes highlighted by completions staff
  • Originate representative Audits of completed Work orders to give assurances to Asset Manager that maintenance is being correctly applied.

Skills/Experience:


  • A detailed understanding of the maintenance workflow process
  • Strong IT skills and proficient in computer systems
  • Previous experience of Maximo and Alfresco
  • Previous experience of working on a top tier COMAH site would be advantageous
  • Excellent communication and organisational skills
  • Proven selfstarter with a bias for action
  • Ability to work under pressure
  • Flexible and adaptable to change
  • Understanding of the budgeting process and cost control is desirable
