Job Title:
Executive PA to the CEO

Location:
Redditch

The post holder may be required to work from office locations situated around the County.
The work base will be considered as the location where the PA's office is located.

This is likely to be Redditch or Worcester in the short/medium term, but could change to another location within the county.

Working hours: 30 Hrs per week
Please note there will be a requirement for flexibility in the role
(Including working, occasional evenings, monthly board meetings
and weekends)

Scope and limits of authority
The post holder is responsible for the following resources:

  • information resources (Chief Executive's office and related projects and events,)
- delegated budget(s) for projects and events

Annual Leave: 28 days or equivalent pro rata (inc. 8 statutory holidays).

Remuneration:
£20,250 per annum (equivalent to £27,000 pro rata)
Automatic enrolment into contributory pension scheme.
Company Sick Pay of 4 weeks after completion of
Probationary Period.
Enrolment into Westfield Health Scheme.

Job Purpose


The Personal Assistant to the CEO is responsible for providing a professional and confidential service to the YMCA Chief Executive, Heads of Service and Board who are responsible for both the leadership of YMCA Worcestershire and delivery of services throughout the County.

The successful applicant will be expected to provide a comprehensive, efficient and effective executive assistant function to the CEO.

Alongside general PA duties, including diary and calendar management, this role also has responsibility for maintaining accurate company records and ensuring that the governance arrangements of the Association are reported in a timely, efficient and effective manner that complies with statutory and regulatory requirements.

Key Tasks and Responsibilities

Providing executive support to the CEO and managing the day to day operation of the CEO's office and the completion of the CEO's personal administration, in a timely manner, enhancing the professional image of the association including:

  • Acting as the first point of contact for internal and external visitors and enquiries that come to the CEO's office, dealing with them as appropriate on behalf of the CEO
  • Liaising / communicating with internal and external contacts in an appropriate manner on behalf of the CEO
  • Managing the CEO's diary, organising meetings internally and externally, ensuring that the CEO is fully prepared in advance; coordinating such meetings including travel arrangements, booking venues, ordering refreshments and ensuring all necessary documentation required, including agendas, minutes and all key paperwork, is prepared or made available in a timely fashion.
  • Implementing and maintaining filing and recording systems.
  • Processing invoices and managing minor expenditures, petty cash, purchases and credit card reconciliations as required for the CEO, and Trustees, and ensuring correct documentation and coding is attached for authorisation.
  • Managing or overseeing ad-hoc corporate support projects, administration or communications work required and as directed by the CEO.
  • Acting as a key stakeholder in relation to complaints received in the Chief Executive's office or general enquiries ensuring that the YMCA Worcestershire complaints procedure is followed.
  • Assisting the CEO in the role of Company Secretary maintaining appropriate governance records within the group of companies including timely completion and filing of relevant documents and returns, production and distribution of notices minutes, agendas and associated papers for Board meetings, subcommittee meetings and other governance meetings.
  • Leading on the preparation, collation, printing and subsequent distribution, of the association's corporate annual report.
  • Collating statistical performance information, other management information and compliance activity, liaising with senior managers where appropriate, to ensure timely presentation to the CEO, Board of Management and relevant subcommittee when required.
