Our client, based in the Hulme area, is a professional social enterprise organisation working to address the health needs of families with emphasis on cultural diversity and competence.

They have asked us to help recruit a Senior Administrator/PA to join their dedicated team of professionals.

The role is to support the Executive Director and Senior Management Team by providing flexible, responsive, confidential, friendly and efficient support.


This includes; the effective day-to-day running of the general office with maintenance of the office systems and processes, implementation and delivery of effective administration for the organisation, supporting specific projects including liaising with third parties on behalf of the Executive Director and Senior Management Team and proactively following up matters on their behalf.


Main Duties and Responsibilities:

  • To provide personal assistance to the Executive Director and Senior Management Team including communicating with internal and external stakeholders, organising diaries and managing correspondence.
  • To efficiently organise various meetings and events including the booking of rooms/venues and the efficient distribution of agendas and minutes. To manage minute taking, circulation and subsequent arrangements for a variety of meetings including team meetings and board meetings.
  • To respond to and liaise with customers/partner agencies to ensure effective delivery of services. This includes solicitors, commissioners, and a range of public, private or third sector organisations (e.g. social workers, schools, NHS staff, charities).
  • To work with the Finance Officer to collate information from staff including invoices, timesheets, expenses forms, and data entry onto spreadsheets. To manage petty cash and purchasing requirements as needed.
  • Providing employee management and personnel administration support to line managers on a variety of operational issues including sickness, annual leave and attendance management, recruitment and selection of staff, induction and mandatory training.
  • To undertake supervisory responsibility and implement appropriate training for all administrative and office staff and carry out preemployment screening including references, DBS, professional indemnity, identity checks and all relevant paperwork.
  • To provide general reception and customer service duties including answering telephone calls, responding to queries and providing general information about the organisation.

Skills & Abilities

  • Excellent communication skills and the ability to provide strong leadership and management
  • Strong IT skills, in particular Internet and MS Word, Excel, Outlook and Powerpoint
  • Good time management and organizational skills including diary management
  • Able to supervise staff including support, training and direction
