Job Description:


  • As the Aftersale & Special Order Administrator you provide fast, effective and highly accurate administrative support for all aspects of the customer service process. Understanding the sense of urgency in serving our clients in the best manner possible.


You'll ensure that all orders are raised in SAP in a timely fashion according to what the After Sales & Special Order Assistant Manager has set out.

This will include managing all aspects of the PIMS and SAP processes, order raising, dismantling etc.

You'll also need to liaise with suppliers on the status of current orders and update all relevant teams of any changes.

Perform the Quality Control of all pieces under 2.5cts (no fancy coloured diamonds). During the absence of After Sales & Special Orders Assistant Manager you'll be required to cover for this role.


Main responsibilities are:

  • To raise all Aftersale and Special Orders in

SAP:
remakes/customization/RTV/Direct orders/repairs/remounts & new/not in stock

  • PIMS reference creation on Oracle and routing setup in SAP.


  • Tracking shipments

  • Updating this on the Tracking sheet on daily basis.
  • Weekly supplier chasing to ensure pieces are shipped on time.
  • Diamond attachments on SAP.
  • Carrying out dismantles and scrapping of pieces on SAP following completion confirmation from customer requests or when needed in order raising.
  • Chasing for CoC documentation and invoice related issues from suppliers when needed.
  • Organising booking in of inhouse orders/direct orders on SAP.
  • Organisation of all assay & special engravings when needed.
  • Scanning & filing all paperwork from SAP orders sent to suppliers & QC invoices/Coc documents.
  • Reception & organisation of shipments from logistics: picking Special Orders out of shipment, signing for pieces, hand shipment to QC, annotate due date & assay/Special engraving requirements.
  • QC of nonHJ orders; Aftersales & repairs and necessary SAP updating: under 2.5cts (no fancy colours)
  • Cover both Aftersales & Special Order roles during holiday or sick leave. eg active cross training.
  • Qualifications
  • Microsoft office and Outlook intermediate
  • Advanced Excel
  • SAP, Oracle of benefit
  • Excellent Communication skills, written and verbal
  • Experience of working with production flows and the tracking of orders with manufacturers and suppliers.
  • Jewellery making experience would be beneficial but not essential
  • English fluent speaking and writing, French/Italian beneficial but not necessary
