Description
The University of Northampton are looking for a temporary faculty administrator to support the existing team.


The purpose of the post is to provide high level secretarial, administrative and operational support to the Faculty Executive Team and Subject Leaders.

The post holder will be required to maintain high levels of flexibility in supporting the business of the Faculty and be able to liaise confidently with other members of the Faculty Executive Team or their representatives on behalf of the Dean.


Duties and responsibilities

  • Support the Faculty Manager in providing a confidential, effective and professional support service to the Faculty
  • Ensure collaborative working with the PA/Faculty Administrator/Academic Subject Administrator to ensure the Faculty is fully supported
  • Direct/deal with general enquiries, as appropriate, ensuring high level of professionalism and customer service
  • Provide efficient, flexible operational support for all Faculty events as directed by the Faculty Manager. Liaise with colleagues responsible for events and marketing activities, in the planning, liaison and execution of internal and external events for the Faculty, delivering high quality customer service to academic staff from various levels as well as external partners to ensure the Faculty's reputation
  • Collate and store information to ensure accurate and up to date records are maintained contributing to the efficient operation of Faculty systems and processes, including: staff leave; staff development; IT equipment allocation
  • To provide support to the Faculty for the preparation of documentation for interviews liaising with colleagues from Admissions and Marketing as appropriate
  • To maintain appropriate systems for all documentation and administrative processes including the management of information maintained on the shared drive and other filing systems
  • Liaise with Professional Services and administration to ensure a high quality student experience, in support of academic staff
  • To service Faculty meetings as required, including scheduling, production and dissemination of documentation, minute taking and monitoring of actions and following up outcomes
  • Produce general correspondence including letters, Committee papers, reports, presentations and other correspondence for the Faculty Executive Team
  • Arrange and manage hospitality bookings for the Faculty as required. Arrange for all visitors and guests to be met professionally and in an appropriate manner
  • Provide operational support for the appointment of new staff including accommodation, office/IT, phones and ordering keys
  • To order and maintain stocks of Faculty specific corporate gifts and marketing materials
  • To act as Display Screen Equipment (DSE) representative for the Faculty.

Skills and experience
5 GCSE (or equivalent) passes to include English and Mathematics

'A' levels or equivalent

Hold a relevant professional level qualification in either: administration, finance, HR or marketing

Skills, Knowledge and Experience

Experience of working in an education environment

Excellent organisational skills including experience of arranging events

Secretarial/administration experience
Essential

Excellent team working with a range of colleagues; able to show initiative in finding solutions to problems

Expertise in Microsoft Office, including the use of Excel spreadsheets and Word

Ability to respond to and resolve enquiries and problems, using initiative to identify appropriate solutions and judging when to involve others to provide an effective service

Experience of servicing committees and meetings, including minute taking

Proven ability to manage conflicting demands while meeting deadline and maintaining professionalism

Experience of the processes and procedures of a University

Experience of working in a customer service environment
