Are you a highly organised individual with a flair for managing administrative and operational tasks? Does your proactive approach and attention to detail contribute to the success of a team? Signature Recruitment is proud to partner with our client, a prominent London university, for an Administrative Support Officer.

This exciting opportunity has an immediate start and will run for 12 weeks. The role requires full-time on-site presence, offering flexibility around hours such as 8am-4pm / 9am-5pm / 10am-6pm.


As Administrative Support Officer, you will provide essential assistance to the Department of Physics, a vibrant team of 50 members.

During this busy period, you'll support with administrative and operational tasks across the department. You should have a proactive and flexible approach, with flexibility to assist with a variety of tasks. This would include finance and HR processing, event coordination, and ad hoc administrative tasks.

You will be required to produce work of exceptional accuracy, confident in asking questions where needed, keeping a positive and energetic approach to tasks.


Administrative Support Officer Key Responsibilities:


  • Manage various administrative tasks, including HR and finance related activities, ensuring smooth departmental operations.
  • Take charge of ordering equipment and supplies, maintaining an uptodate inventory database.
  • Process expenses and travel claims, raise purchase orders, and coordinate procurement processes for courses.
  • Arrange complex travel and conference itineraries, including bookings to challenging locations such as the Arctic Circle.
  • Organise meetings, seminars, and events, handling everything from room bookings to publicity material preparation.
  • Coordinate logistics such as vehicle bookings and hotel accommodations, in addition to supporting various adhoc tasks and projects.
