The Physiotherapy Administrative Team based at Southmead Hospital is seeking an enthusiastic and organised AfC Band 3 support to join our dedicated team.

You will have a friendly outlook with a strong sense of teamwork, as well as being highly motivated and dedicated.


The Administrative Support role is responsible for prioritising patient referrals, ensuring appointments are scheduled chronologically as well as rescheduling outpatient physiotherapy appointment.


As part of a well-established administrative team, the post-holder is required to be an excellent team player providing administrative support in an exceptionally busy department supporting 35+ physiotherapists and a small team of Occupational Therapists based at Southmead Hospital.

Working well as part of a team and working in accordance with the BNSSG Patient Access Policy, NHS Guidelines and Trust and Departmental Policies and Protocols.

The role requires an elevated level of patient contact by phone as well as administration duties associated with clinic management and waiting lists whilst being able to use own initiative with a great team-player ethos to ensure an effective, efficient and high quality of administrative support is always provided.


This is a permanent role offered as a full or part-time role within the core working hours (negotiable) based on G24, Brunel Building, Southmead Hospital site.

To have a good knowledge of hospital administrative procedures and government waiting list targets.

To adhere to the Trust Patient Access Policy at all times in terms of booking patients chronologically, DNA's/patient cancellations.

Management of Careflow PAS to cancel, book, reschedule appointments as well as using other Trust systems ie. ICE, EDMS.


To assist with all tasks associated with appointment booking for patients attending the Physiotherapy Outpatient Department including booking group sessions.

To maintain an overview on clinics to ensure all clinic slots are fully utilised.


To respond to all telephone enquiries as well as managing multiple inboxes and where required cross covering other Therapy Services as requested.

To assist with all tasks associated with appointments for patients attending the Therapy Services Outpatients.

To ensure clinic slots are fully utilised.

To respond to all telephone enquiries, referring to wider multi-disciplinary team where appropriate.

To liaise with multi professional hospital teams Physiotherapists, Occupational Therapists teams.

To provide support to admin colleagues working as a exceptionally busy team consistently.

To assist with a range of administrative and clerical duties as required.
