We have a fantastic opportunity available for someone with extensive diary management experience, able to communicate professionally with senior internal and external stakeholders, and strong inbox management.

We are seeking someone to hit the ground running as a PA to the (HOD) and senior manager, as well as competently supporting with ad hoc duties as required for the wider team.

Our client regulates the conduct of 50,000 firms in the UK to ensure that our financial markets are honest, competitive and fair.

They work to ensure that these markets work well for individuals, for businesses and for the economy.


Duties & Responsibilities

  • Strategically thinks and plans ahead when delegating, tracking and chasing actions.
  • Diary management and using judgment on which meetings take priority.
  • Ensuring the diary is maintained smoothly and effectively to maximise SLT's available time.
  • Strategically preparing all packs, papers and actions for all meetings, as necessary, in advance
  • Maintaining electronic files in line with records management procedures
  • Working closely with the Directors PA and divisional PAs to ensure a joined up and strategic running of departments and divisions.
  • Processing expenses, system super users and other adhoc administrative tasks for SLT and division.
  • Providing wider administrative support to the Internal Comms team
  • Organise SLT meetings including looking after the distribution list, arranging team details and keeping the chair rota up to date update Pulse calendar with events regular catch ups with the team on planning for Internal Comms team

Skills Required:


  • Accomplished time management skills with the ability to organise and prioritise a breadth of tasks, at the same time.
  • Solutions focused with the ability to work effectively under pressure and to tight deadlines.
  • Ability to spot and implement more effective ways for working
  • Behave as an ambassador of the division and an extension of the SLT member you support.
  • Ability to consider different pieces of information, which sometimes will be incomplete and find out more or make recommendations where appropriate.
  • Proactive approach to resolving issues in order to ensure SLT are as effective as possible.
  • Ability to manage confidential and sensitive data with a high degree of discretion (maintaining confidentiality at all times).
  • Ability to build and sustain effective working relationships and networks at all levels of the organisation.
  • High level of accuracy and attention to detail.
  • Proven ability to work effectively both in a team and as an individual contributor.
  • Ability to contribute beyond your own professional specialism and play an active role in shaping the direction of travel for the division.
  • Excellent administrative skills.

Job Types:
Full-time, Temporary contract


Salary:
£24.00 per hour
