Job Description:

Role and Responsibilities

To deliver a professional and customer focused service desk for all facilities management services for the site, priorities include:

  • Management and triage of the shared mailbox which receives all facilities related enquiries from employees for actioning.
  • Raise and follow through via SAP reactive work orders issued to the Plant Maintenance Team, or Teledyne's Measured Term Contractors. Coordinators to have a strong knowledge of the site and to act as gatekeepers by signposting queries efficiently and professionally.
  • Keeping track and updating overdue workorders via SAP and producing reports to the Plant Maintenance Manager.
  • Ensure that works are completed in a timely manner, chase any outstanding works providing a clear audit trail, and escalate any unresolved queries to the next level of support, keeping the customer updated on progress.
  • Raise purchase requisitions via SAP to cover all facilities purchasing requirements including contractor quoted works, workwear for the Site Operations team, furniture, and consumables.
  • Ensure security checks are completed and that the booking-in of visitors and contractors is undertaken via the online visitors booking system, and that the visitor and contractor database is maintained.
  • Facilitating Health and Safety inductions for Facilities Contractors and Visitors.

Skills & Experience Essential Qualifications:

  • Good communication skills, putting the customer first.
  • Working as part of a team as well as on own initiative.
  • Experience with working with external contractors and service providers.
  • Experience in using SAP (ideally) or other computerbased asset management systems.
  • Computer literate, preferably with experience of Microsoft Office software including Excel and Word.
