    About the Role

    The Office & Travel Coordinator is responsible for leading and supporting on a wide range of day-today office logistics and admin. tasks to ensure the smooth running of the London office. The role will ensure that the London office environment is fun, vibrant and effective, and provides Prescient colleagues with a great place to work.

    The Office & Travel Coordinator is also responsible, as part of the wider Business Operations team, for providing travel booking and management support to the wider Prescient business. The role will also contribute to wider office-based initiatives, such as those concerning EHS (Environmental, Health and Safety) matters.

    Responsibilities

    The Office & Travel Coordinator's duties will include but not be limited to the following:

    Take the lead in ensuring the London office is well-stocked, clean and attractive by:

    • Ensuring the kitchen, meeting rooms and other communal areas are well stocked, presentable, and ready for use.
    • Arranging team breakfasts, lunches and catering for meetings as required.
    • Taking responsibility for the regular online supermarket order.
    • Maintaining an orderly and appropriately stocked stationery cupboard; being the main point of contact for stationery requirements

    Support accommodation and travel arrangements by:

    • Monitoring and responding to requests from across the business for non-conference travel support.
    • Researching and evaluating travel and accommodation options. Making travel bookings on colleagues' behalf using the company's chosen travel providers.
    • Maintaining positive relationships with the company's travel providers in order to ensure best value and service.
    • Maintaining travel records required to support EHS reporting.
    • Providing support to the conference travel booking process at time of peak demand.

    Help build a vibrant and inclusive culture within the London Office by:

    • Working closely with the Culture team by providing support for various initiatives (i.e. ordering food and drink for events and daily use, coordinating well-being & fitness offerings) that will help us build a positive and friendly working environment.
    • Support and drive the adoption of the new brand values and branding within the London office.

    Cover the range of other office-related activities by:

    • Coordinating and welcoming visitors to the offices.
    • Monitoring the central inbox and answering the phone.
    • Responsibility for coordinating office projects such as renovations, replacement of office equipment / appliances etc through solid research and collaboration with the office and culture teams.
    • Dealing with cards/presents which London Office Leads wish to have issued to mark birthdays, weddings, staff leaving, etc.
    • Managing all post, monitoring the in/out system including car parking and maintaining an inventory for office keys and fobs.
    • Supporting the Consulting Team with preparation for meetings and client events including collation of materials for workshop bags.
    • Providing general IT support including setting up new starters, laptop servicing, maintaining inventory lists, setting up new project drives and responding to project archive requests.
    • Supporting the AVP – Operations in driving EHS related initiatives – within and beyond the London office.

    Required Experience and Skills

    • A positive, friendly attitude with the ability to engage and build relationships with people throughout Prescient as well as externally (e.g. travel and accommodation suppliers).
    • Excellent organisational and time-management skills and the ability to prioritise tasks and work under pressure.
    • The ability to proactively spot opportunities to make the office environment more attractive or effective.
    • A sense of energy, positive thinking, adaptability and professional integrity.
    • IT skills are required, as well as the willingness to develop in this area
