Overview:

You will report to the Business Support Manager and will fill a PA role, assisting HM Chief Inspector of Constabulary in Scotland and the Assistant Inspector of Constabulary, as well as fulfilling an administrative support role for the wider HM Inspectorate team.


Responsibilities:

Provide support to the HM Chief Inspector of Constabulary in Scotland and the Assistant Inspector of Constabulary:

  • Proactively manage diaries to ensure time is properly managed and planned and competing demands are anticipated and prioritised.
  • Organise meetings and collate and issue papers.

Provide support to the HM Inspectorate Team:

  • Arrange travel and accommodation.
  • Manage databases (erdm and Egress) and filing systems and update and maintain HMICS file plan in erdm.
  • Manage shared mailbox and allocate incoming mail accordingly.
  • Assist with the delivery of inspection reports and in the preparation of accounts and financial records.
  • Be the first point of contact for general enquiries and office administrative tasks to support the wider team.

  • Experience of planning, organising and prioritising workloads to meet tight deadlines and the ability to work flexibly across the whole team if required.
  • An ability to produce clear and concise written material.
  • Excellent interpersonal skills, including working with a wide range of people and building positive relationships.
  • Able to improve performance and systems by adapting skills and resources to fast changing circumstances.
