We are working with a global organisation looking for an Exhibition
Project Coordinator to support with the management, operational delivery, and logistic arrangements of exhibitions.
You will be working closely with other Coordinators andsupport the team by taking responsibility for crewing, travel booking and managing the logistics and other administrative tasks associated to the projects that are assigned to you.
Travel and on-site working are required, but most of the time will be spent working from our clients Head Office in Harlow.
The ideal Exhibition
Project Coordinator will be highly organised, detail oriented and an effective communicator with the ability to work well as part of a large team.
The Primary responsibilities of the Exhibition Project Coordinator:
- Supporting the logístical and operational delivery of exhibitions or other shows.
- Liaising with the sales team in advance of an event to understand the different clients and jobs involved in the given project.
- Monitor the internal system for all orders which are on quotation, reserved and confirmed related to the working project. Help ensure all orders are accounted for and completed for delivery onsite.
- Working with the project managers to ensure that installations are managed smoothly both preshow and onsite, exceeding our client's expectations where possible.
- Help in producing a project timeline for both clients and for internal use, to ensure key deadlines are met.
- Arranging and attending project meetings (including production and postshow reviews).
- Liaising with the warehouse regarding prep schedules for each event and overseeing the kit loading process.
- Arranging trucking of kit, including carnets if required.
- Booking travel and accommodation where necessary for Technicians who are working away from home.
- Ensuring all Visa & Working permits are covered for each Project.
- Ensuring that all office administration is carried out within the set procedures and in a timely fashion, maximising the efficiency of each project.
- Support the Projects and Logistics Manager with on site management of all internal crew, external contractors, and all equipment.
Qualifications and pre-requisites
- High level of Organisational skills.
- Excellent Communication skills, both verbal and written.
- Administrative experience essential.
- Strong IT skills (including Outlook, Word, and Excel).
- The ability to work well and meet deadlines in a fastpaced work environment.
- A keen eye for detail.
- A great team player with a positive 'can do' attitude.
- The ability and willingness to travel globally and work overtime as required.
- Previous experience with scheduling technicians and/or vehicles desired but not essential.
