Description

As Administrative Support Officer you will be responsible for developing, implementing, and operating processes that ensure TrustMark Research and Innovation runs smoothly and the TRI team are able to function at the highest efficiency.

As a Not-For-Profit, TRI's funding comes from various public sources, and is linked to the delivery of particular sets of outcomes.

Whilst not responsible for delivering these outcomes, it will be your role support the TRI team with administrative resources and expertise to ensure we are collectively successful at meeting these outcomes.


Key Responsibilities


You will work with a diverse group of individuals with differing needs and priorities and will need to manage time and tasks effectively.

TRI is a start-up organisation and, as such, does not have many systems and processes in place. However, start-ups fail where systems and processes are not developed with organisational growth in mind. Your role will involve developing the systems and processes our organisation requires to grow. As with any start-up, there will be a requirement for a flexible approach to your day-to-day activities.


Key skills and experience - Minimum requirements
Supporting the organisation and team to develop, implement and improve it's processes across the following organisational functions:


  • Administration: You will manage administrative functions to support TRI's operations. This involves overseeing office management, facilities, equipment, and supplies. You will also develop and implement administrative policies and procedures to improve efficiency and effectiveness across the organization.

Travel: You will coordinate and manage travel arrangements for TRI staff, including booking flights, accommodations, and transportation. This may involve negotiating corporate rates with travel vendors and ensuring compliance with travel policies and guidelines.

Expenses: You will be responsible for managing expense processes, including expense reporting, reimbursement, and compliance with expense policies. This involves reviewing and approving expense claims, ensuring proper documentation, and providing guidance to staff on expense-related matters.

Finance: You will be responsible for financial management, budgeting, and financial reporting. This includes overseeing financial operations, such as payroll, accounts payable/receivable, and financial analysis. You will work closely with the finance team to ensure accurate and timely financial reporting and adherence to financial regulations.

Procurement: You will oversee the procurement process, including vendor selection, contract negotiation, and managing supplier relationships. This will involve ensuring compliance with procurement policies and procedures, obtaining competitive bids, and optimizing procurement strategies to meet TRI's needs.

Logistics and dairy management: You will be required to manage the teams logistics and diaries to ensure people are where expected and on time. This may also including working with a external organisations and individuals.

Office Management: You will be responsible for ensuring that leases, certificates, safety tests etc. are planned, completed and registered. This may also include fleet logistics and management.

£32,000.00-£34,000.00 per year
