BackExecutive Support Officer:
An exciting opportunity has arisen to work in the Executive Support Team for the Mayor of Tower Hamlets. This is a one year maternity cover post.
Role Purpose
As an Executive Support Assistant you will have responsibility for ensuring high quality, proactive and timely executive support to the Mayor of Tower Hamlets and to provide an efficient and effective Executive Support Service.
You will be contributing to the development and maintenance of the Mayor's inbox, effective systems and processes whilst meeting objectives and milestones in all areas of your responsibility.
You will also be working collaboratively to improving liaison with the Mayor, Lead Members, Councillors and other internal and external stakeholders.
In addition to this, you will assist the Senior Executive Support Officer / Executive Support Team Leader in supporting projects and resolving issues.
Key Responsibilities
The main responsibilities are to provide comprehensive administrative and effective secretarial support services at all times to the Mayor.
Implement effective secretarial and administrative processes, continuously assessing new ways of working and contributing to the development and enhancement of Executive Support services.
Make the best use of appropriate ICT systems to facilitate the effective execution of the team's duties and responsibilities and assist in training the team to ensure effective use of IT systems across the service.
Assist in the co-ordination of briefings and information flow for the Mayor, Lead Members, Councillors and other internal and external key stakeholders.
Provide full cover for the Senior Executive Support Officer role in case of absence to ensure the smooth running of the Executive Support function.
Requirements:
You will have strong PA skills with a detailed understanding of Executive Support functions and services and the needs and priorities of key stakeholders and partner organisations.
Demonstrable experience of providing excellent oral and written communication skills including the ability to present sensitive information clearly and concisely to a range of audiences is essential and it is expected you will have strong analytical skills, experience of working within deadlines and managing competing priorities.
