Job Purpose
- Ensure that the daytoday welfare and support for students is available as and when needed
- Provide administrative support to the Curriculum Manager
- Support the administrative needs of the Placement Office
- Assist Curriculum Manager in ensuring that all administrative processes are compliant
Role Specification
- Assist all SIRM students with the placements.
- Assist in opendays and provide educational and career information, advice and guidance to students regarding placements.
- Assist with student inductions at work place, ensuring that SIRM policies and procedures are clearly communicated so that students' physical, emotional and educational needs are met.
- Develop links and assist curriculum manager with a robust record keeping of placements logs and documents.
- Develop and add to the database for the curriculum manager, setting up meetings and ensuring more placement and staffing targets are achieved for SIRM.
- Ensure student placement file is complete for each and every learner and that the information is accurate, signed and complete in accordance with the SIRM and awarding body policy.
- Ensure that student obtains a letter or other correspondence for the College that confirms that they are in a placement at the time of admission to SIRM, liaising with the admissions team.
- Meet/ speak with the appointed official/ Mentor at the placement and discuss this guide with them
- Obtain relevant information relating to the place of placement, such as policies, code of conduct and other expectations
- Ensure all observations are recorded on a standard Pearson form (Or whoever the awarding body is) provided by SIRM and reviewed by Program Lead and Curriculum Manager.
- Be responsible for the daytoday student queries and coordination with corporate networks.
- Assist with the organisation of student placements, collating data, correspondence with organisation/institutes, building student and employer data bank for placements.
- Act as first point of contact for faculty/staff/ learners' queries on placements.
- Arrange appointments between students and staff and the placement offices.
- Record keeping of all student Eportfolios (DET) and maintain log sheets for all placements at SIRM.
- Aid/ provide extra support for students with disabilities and learning difficulties
- Liaise with faculty and other staff to monitor progress, identify possible barriers to achievement and ensure appropriate intervention to help individual students to overcome any barrier to the effective learning
- Assist faculty with academic management activities, including but not limited to coordinating the assessment procedures, coordinating and recording internal verification processes, assisting with the preparation for external verification / assessment boards
- Work with Curriculum Manager to plan and implement appropriate interventions when concerns arise that could impact on achievement or progress
- Support Programme Lead and Curriculum Manager with preparation for and during visits from external agencies, coordination for guest speakers and corporate networking.
- Managing SIRM social media and digital engagement.
- Respond to internal enquiries relating to placement issues.
- Monitor completion of required hours and network for more positions and tracking documents for completion of placement data, including dealing with extension requests and extenuating circumstances.
- General typing, including letters, assessment related correspondence to students, agendas and minutes.
- Maintain accurate student records with details of supervision, tutorials, disciplinaries, assessments, extension's, withdrawals.
- Using information systems produce reports as required for data returns, assessment boards, the annual monitoring process, for internal and external use.
- Take part in departmental meetings.
- Keep up to date with the changes in the DET and any other program assigned.
- Undertake other tasks, as directed, to meet the needs of the business; working flexibly; and take personal responsibility for retaining and developing competence.
